Summary:
We are seeking a highly organized and proactive Human Resources Coordinator to oversee the administration and support of human resource processes and procedures, including but not limited to onboarding, record management, reporting, compliance, and employee correspondence. The use of discretion, confidentiality, and independent judgment is critical in all aspects of work performed in this position.
Responsibilities:
- Coordinate and track onboarding and offboarding processes for new hires and employees across multiple states. Research and stay up to date with changing requirements. Prepare documentation, manage surveys, and assist with exit interviews.
- Facilitate new hire orientation and input new employees into our HRIS; schedule and manage new hire workshops and calendar assignments; and assist with employee events, e.g., new Hire Mixer.
- Oversee the creation of new hire files, support the collection of necessary documents via DocuSign, maintain I-9 forms, and manage the E-Verify process.
- Manage, track, and ensure the completion of all required compliance training and recertifications for new hires, existing employees, and managers: Harassment Prevention, Diversity, Violence in the Workplace, Compliance and Ethics, Mandated Reporter, etc.
- Collaborate with various departments to respond to employee inquiries and facilitate requests accurately, timely, and effectively.
- Maintain and update employment records, including salary adjustments, promotions, and other relevant changes within the HR system (Ceridian Dayforce).
- Process employment verifications (VOEs), Unemployment inquiries, and other requests for information by outside agencies, e.g., EDD, CA CRD, BLS, etc., as required.
- Manage the HR department’s email inbox, addressing questions and providing resources to employees as needed.
- Support HR Business Partners and the HR Operations team with administrative tasks, ongoing projects, and compliance audits as needed.
- Assist with compliance efforts such as background checks, minimum wage and personnel file audits, and new company-wide policy updates.
- Manage the HR administration of company credit cards, including issuance and cancellations, as well as the tracking and coordination of business card requests, ensuring timely and accurate delivery to meet professional needs.
Required Qualifications:
- Minimum of 2-4 years of Human Resources experience.
- Highly organized with the ability to multitask, effectively prioritize, and work under pressure.
- Excellent interpersonal skills with the capability and desire to work within a collaborative team.
- Assertive problem solver and proactive individual who takes initiative.
- Excellent written and oral communication skills.
- Ability to work with integrity, discretion, and professionalism.
- Microsoft Office intermediate skill level (Word, Excel, Outlook, PowerPoint).
Preferred Qualifications:
- Experience with HRIS systems, particularly Ceridian Dayforce.
- Knowledge of California employment laws and regulations.
Total Compensation:
The estimated salary range for a new hire in this position is $25-30/hour. Salary may vary depending on job-related factors, including knowledge, skills, experience, and location.
