Chorus Personnel Manager | Grant Park Music Festival

The Grant Park Music Festival (the Festival) in Chicago, Illinois seeks a part-time Chorus Personnel Manager. The Festival’s Chorus Personnel Manager is responsible for administering the personnel of the Grant Park Chorus, a professional union paid chorus. This includes application of the collective bargaining agreement (CBA), preparation and maintenance of payroll and other records, scheduling of musicians, hiring of substitute and extra musicians, and coordination of auditions. The Chorus Personnel Manager also serves as the librarian for the Grant Park Chorus. The Chorus Personnel Manager will join the Festival's hard-working, collaborative team of 15 year-round staff who are dedicated to bringing Chicagoans together to experience symphonic music outdoors in one of the world’s most magnificent urban settings, the Jay Pritzker Pavilion in Millennium Park. The Festival team is deeply committed to serving the people of Chicago through our mission of enriching lives through the power of music.The Chorus Personnel Manager serves as the direct liaison between Grant Park Chorus Director Christopher Bell and the world-class musicians of the Grant Park Chorus. The Grant Park Chorus performs six programs each summer, including five with the Grant Park Orchestra and one a cappella program. The Chorus Personnel Manager reports to the Festival’s General Manager.

KEY DUTIES AND RESPONSIBILITIES

  • Work with Chorus Director and General Manager to schedule, budget and coordinate each Grant Park Chorus season.
  • Hire choristers and accompanists, consistent with Festival’s artistic standards and CBA guidelines, as necessitated by budget, repertoire, and player absences.
  • Attend all Grant Park Chorus services and ensure compliance with CBA guidelines.
  • Provide stage plot to Festival’s Production Manager and ensure piano tunings are adequately scheduled.
  • Respond to conductor and musician requests, problems, and issues arising out of or in connection with an imminent service in a manner consistent with past practice, CBA, and Festival’s standards.
  • Plan, prepare, and participate in AGMA negotiations as part of the Festival management team.
  • Create accurate bi-weekly chorister payrolls according to terms outlined in CBA, accounting for service types, singer seniority, solo and small group fees, broadcast fees, paid time off, and more.
  • Coordinate the annual audition process for the replacement or addition of regular and supplemental choristers.
  • Arrange for the purchase or rental of materials to meet program needs for the chorus.
  • Manage all aspects of music preparation, including but not limited to editing, proofreading, score distribution, and score return.

MINIMUM CANDIDATE QUALIFICATIONS

  • Three years of experience in professional (paid) orchestra/chorus personnel administration required.
  • Demonstrated knowledge of orchestral and choral repertoire with an ability to read musical scores.
  • Strong computer skills with a high level of proficiency in Microsoft Office applications, including Microsoft Excel.
  • Demonstrated experience administering collective bargaining agreements.
  • Strong interpersonal and communication (verbal and written) skills.
  • Demonstrated discretion in handling confidential personnel matters with prudence.
  • Keen attention to detail.
  • Ability to work with diverse personalities while maintaining diplomacy and a calm demeanor under pressure.
  • Ability to shift/transport up to 40 lbs; ability to work outdoors at times and possibly in inclement weather.
