Foley Mansfield's Monrovia, CA office is seeking an Office Administrator to manage the day-to-day operations of the office, including management of the support staff, ensuring adequate coverage, and facilities management. This is an in-person position.
The essential functions of this position include:
- Ensures fair and consistent application of all firm policies and procedures.
- Supervises, develops, advises, and disciplines non-exempt support staff.
- Provides regular direction and leadership to staff on projects, workflow, and assignments to ensure effective support and business service needs are met.
- Monitors attendance, schedules, PTO requests, and other absences and approves timecards.
- Identifies and documents performance issues and provides feedback.
- Conducts annual performance reviews for legal personnel and participates in the salary review process.
- Involved in the recruitment process for support staff openings.
- Coordinates new employee onboarding.
- Actively reports to and communicates with the Managing Partner regarding work assignments, personnel issues, and office activities.
- Partners with the Human Resources department.
- Reviews office invoices and acts as primary point of contact to the accounts payable team.
- Reviews support staff time entry for timeliness and quality, provides feedback to staff as needed, and monitors deduction responsiveness.
- Arranges and facilitates all in-office meetings and events.
- Oversees office operations of the mail/file room and records/equipment storage.
- Coordinates office maintenance needs, security and safety training, and emergency procedures.
- Acts as liaison to the office as the firm considers lease options, possible relocations and/or major renovations.
- Minimum of 5 years of professional services/HR management.
- Previous law firm management experience preferred.
- Strong Microsoft Excel, Word and PowerPoint skills with ability to learn and use other programs as necessary.
- Strong verbal and written communication skills and the ability to develop partnerships with all levels of the organization, external groups and vendors; ability to influence as a trusted advisor.
