What You'll Do

The Associate, Talent Acquisition is responsible for a variety of tasks supporting the recruiting function for OCC in Chicago, Dallas, and Washington, D.C. Key daily responsibilities include scheduling candidate interviews, background screening administration, onboarding activity management, candidate travel scheduling, room booking, and greeting candidates and new hires. Other duties include intern program recruiting and administration, event planning and coordination, and file management.

Primary Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each primary duty satisfactorily.

College Relations

  • Support Intern program recruitment, project management assistance, intern engagement, and event coordination.
  • Attending career fairs and promoting OCC as an employer of choice on college campuses to support Chicago, Dallas, and Washington, D.C. locations.
  • Creation of intern and entry-level FTE REQs in Workday ATS.

Interview Support

  • Scheduling in-person, video, and phone interviews using Cisco WebEx, MS Outlook, and Workday ATS.
  • Candidate travel coordination including flight and hotel booking, and itinerary confirmation and management.

Onboarding Support

  • Background screening and fingerprint program administration support including appointment setting and creation of initial records.
  • Manage pre-hire tasks for new candidates.
  • New hire onboarding and orientation support including booking and preparing rooms and ensuring equipment and facilities are operational. Ensuring all tasks are complete in Workday in advance of the start date.
  • Serve as primary I-9 document reviewer and perform Workday and E-verify updates as required. Will also review and update I-9 in Workday for employees with changes in immigration status to support new hire orientation and ongoing employee program administration.

General Administration

  • Records management including electronic and physical employee files.
  • Follow specific policies and procedures and keep management apprised of issues and progress against completing objectives.
  • Input information accurately in the Workday Human Capital Management system, monitor incoming e-mail and task items, and ensure completion according to deadlines and priorities.
  • Participate in specific projects as directed, which may involve the Talent Acquisition or other HR functions supporting OCC’s mission.

Qualifications:

  • Prefer one year of experience in a process and detail-oriented role.
  • Attention to detail and ability to manage high volumes of incoming tasks via e-mail, phone calls, and face-to-face interactions with people at all levels.
  • Strong interpersonal skills including a propensity to act proactively.
  • Working knowledge of MS Office suite of products, Workday experience desirable.
  • Experience with calendar management, group presentations, and interpersonal interactions at all levels.
  • High level of organization to be able to manage competing priorities.
  • At least 6 months of experience maintaining and organizing a variety of records in electronic and physical formats, with an ability to maintain highly confidential information in a secure and consistent manner.

Technical Skills:

  • MS PowerPoint, MS Word, MS Excel, Workday or other human capital management system experience preferred.
  • Familiar with WebEx, video conference, and meeting room equipment.
  • Familiarity with e-Verify and Handshake platform preferred.

Education and/or Experience:

  • HS Diploma, Bachelors preferred.
