HJF is seeking a Program Coordinator to provide administrative project oversight of a narrower scope under the direction of a supervisor. Coordinates budget and accounting, space management, personnel management, overall management, contracts, and purchasing. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks. The Program Coordinator will report daily to the Department’s Administrative Officer and provide administrative and research functions.

This position will be in support of The Department of Surgery located at the Uniformed Services University (USU) and the Walter Reed National Military Medical Center (WRNMMC) in Bethesda, MD; hereafter referred to as USU Walter Reed Surgery.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike.

Responsibilities

  • Performs a variety of administrative and advisory duties that involve the day-to-day oversight and implementation of program functions and require extensive coordination between management officials and servicing civilian personnel specialists.
  • Establishes, maintains, and monitors computer databases on department programs and operations. Ensure databases are accurate, complete, and up to date to assure information and system integrity.
  • Maintains Equipment Tracking spreadsheet.
  • Maintains updates for USU Directory (including phone numbers, office locations, SAED updating).
  • On a daily basis, collects, reviews (ensure USU policy standards met), and submits department knowledge products for scientific and public clearance review. Informs the originator why information cannot be cleared for public release. Provides review policy, guidance, and assistance to staff. Maintains a current database of all knowledge products. Submits summary reports on a quarterly and annual basis. Prepares and maintains USU Walter Reed Surgery’s calendar of events (e.g. research seminars, grand rounds, and special events such as Trauma Day).
  • Update and disseminate monthly financial tool.
  • Participates in the development of and the coordination of advertising materials for USU Walter Reed Surgery.
  • Prepares a variety of reports (e.g. space utilization, event attendance, statistics on website visitation), as required by the Administrative Officer.
  • Analyzes practices and procedures dealing with space, procurement, and procurement of equipment and materials.
  • Drafts and coordinates the release of internal administrative instructions and procedures.
  • Coordinates and disseminates office policies with those issued by other organizational components of USUHS.
  • As needed, participates in the strategic planning efforts for the Department of Surgery.
  • Performs other duties as needed.

Qualifications

Education and Experience

  • Bachelor's Degree required
  • Minimum of 0 - 2 year's experience required

Required Knowledge, Skills and Abilities

  • Intermediate Microsoft Office and Adobe experience.
  • Knowledge of organizational objectives, office automation.
  • Ability to work completely independently.
  • Ability to use sound judgment in solving problems.
  • Ability to coordinate many complex systems and programs at the same time.
  • Excellent communication and interpersonal skills.
  • Ability to obtain and maintain a T1 Public Trust/CAC background check.

Physical Capabilities

  • Lifting: Requires lifting materials up to 10 lbs.
  • Ability to stand or sit at a computer for prolonged periods.

Work Environment

  • This position will take place primarily in an office setting.

Compensation

  • The annual salary range for this position is $50,100-$65,000. Actual salary will be determined based on experience, education, etc.
