What You'll Do

Summary/Objective:

Provide administrative support to the Human Resources department and maintain, file, and update personnel information records.

Essential Functions:

  • Responsible for collection and audit of all New Hire paperwork; serves as primary point of contact for new hires through onboarding and addresses any questions or required follow up.
  • Maintain filing system in Nautilus for personnel records making changes and updates as needed. Ensures all documents are uploaded and audited within established KPIs.
  • Track all necessary temporary staffing through various agencies.
  • Responsible for processing all I9's and running them through eVerify.
  • Responsible for ensuring HR compliance checklists and I-9s are audited in a timely fashion.
  • Prepare any necessary internal/external documents and distribute to appropriate parties to ensure accurate and timely new hire processing. Monitor and save all Docusign documents. Conduct background checks, create, input new employee information into Payroll/HRIS, and conduct new hire orientation on a rotating basis.
  • Serves as backup on the Charity Match program, track and ensure timely payment of all referral bonuses;
  • Process user profiles for new employees, complete updates, and create or maintain employee XP profiles as backup.
  • Assist the HR Team with recruitment initiatives and other projects as needed.
  • Cross train on Job Responsibilities of the Benefits Administrative Assistant and provide coverage and back up support as needed. Specifically but not limited to - new hire and offboarding audits, processing of offboarding documents.
  • Perform a variety of administrative duties including, but not limited to: assisting with employee engagement activities, ordering/maintaining department supplies, monitoring/updating Daily Message on a rotating basis, completing annual EEO Report by required deadline, creating annual Veterans' Day tribute, and answering the department's Hunt Line to assist callers with HR-related questions.
  • Perform other job-related duties as assigned by Managers(s).

What You'll Need

  • High School Diploma or equivalent
  • 1-2years' previous administrative experience in a Human Resources department or equivalent
