Job Requirements / Description
As a Project Administrator, you will report directly to the Vice President of Development and Construction. Your primary role will involve providing comprehensive administrative and logistical support to Development Managers and Project Managers. This support will be required both in the office and, when necessary, at various project sites.
Key Responsibilities:
- Administrative Support: Provide daily administrative assistance to Development Managers and Project Managers, ensuring smooth workflow both in the office and on project sites, as needed.
- Documentation Management: Prepare, manage, and track all project-related documentation, including subcontractor and consultant agreements, change orders, purchase orders, RFIs (Requests for Information), transmittals, and submittals. Distribute these documents to the appropriate stakeholders in a timely manner.
- Subcontractor Prequalification: Obtain and log subcontractor prequalification forms and references to ensure compliance with company standards and project requirements.
- Tracking in Systems: Manage and maintain accurate project documentation and data using Sage 300/Timberline, Procore, and Textura. This includes tracking meeting minutes, budget reports, and other relevant project information.
- Invoice Management: Work closely with consultants, subcontractors, and suppliers to obtain, review, and process invoices and other necessary documentation, ensuring that all records are up-to-date and compliant with project timelines and budgets.
