POSITION: CONFIDENTIAL ASSISTANT TO THE PROVOST (ASSOCIATE SUPERVISOR 2, ADMINISTRATIVE SERVICES)
SALARY RANGE: $81,688.72 - $116,313.20

RESPONSIBILITIES
Under the direction of a Director in the Administrative Services area at a state college, assists in the administration of a complex major program and/or large unit; supervises one or more sections of the unit or program; exercises authority in the absence of the Director; does related work as required.
QUALIFICATIONS
Assists in establishing and evaluating unit programs and goals, develops policies and procedures in accordance with college policies and objectives. Reviews and interprets applicable principles, federal, and/or state laws and regulations in the course of official duties. Prepares or supervises the preparation of reports and studies containing findings and recommendations for review by the Director. Reviews data and prepares the program or unit budget; monitors expenditures, evaluates spending patterns, and recommends approval or disapproval of expenditure requests. Evaluates program operations and performance; recommends changes as required. Administers and interprets applicable federal, and/or state laws and regulations affecting the unit; formulates resultant policies and procedures. Supervises work operations and/or functional programs, and has responsibility for employee evaluations, and for effectively recommending the hiring, firing, promoting, demoting, and/or disciplining of employees. Consults with the Director to resolve problems or concerns of the unit or program. Establishes liaison and maintains cooperative working relationships with college administrators, faculty and staff, students, and student organizations, government, and private agencies, and/or the public to accomplish program or unit objectives. Maintains integrity and confidentiality in the section and program operations. Develops public relations materials. Participates in conferences, seminars, or meetings; represents the Director as required. Initiates and plans conferences, seminars, and workshops. Prepares or supervises the preparation of detailed correspondence. Represents the Director on ad hoc and standing committees. Supervises the establishment and maintenance of essential records and files. Compiles and summarizes statistical and other data for the Director. May be required to learn to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.

Proven ability to prioritize, coordinate and manage multiple clerical tasks for different people with efficiency and accuracy. Demonstrated ability to work successfully and cooperatively in a team environment with a variety of constituents, including academic administrators, faculty, students, executives, and external contacts. Proven independent skills in prioritizing work, problem solving, and organization. Demonstrated ability to take initiative to be responsive to new tasks and assignments.
REQUIREMENTS
Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience.
- Eight (8) years of administrative professional experience overseeing management operations, strategic planning, design and implementation of policy and procedures, vendor service contracts and improving and updating management practices.
- OR Possession of a bachelor’s degree from an accredited college or university; and four (4) years of the above-mentioned professional experience.
- OR Possession of a master’s degree; and three (3) years of the above-mentioned professional experience.
- OR Possession of a Ph.D or Ed.D degree; and two (2) years of the above-mentioned professional experience.
NOTE: "Professional experience" refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession's principles, concepts, theories, and practices; and is performed with the authority to act according to one's own judgement and make accurate and informed decisions.
