Under the general direction of the Executive Director, the Accounting Clerk/Officer maintains the financial bookkeeping of the organization. The responsibilities of the Accounting Clerk/Officer include: analyzing all financial activities, ensuring compliance with accounting and legal requirements, preparing budgets, coordinating with the Human Resources department in verifying and balancing the accounting section of payroll and benefits function, and maintaining and performing Japanese accounting functions through communication with Tokai Educational System (TES) headquarters office.

Essential functions:

  • Maintain, provide input, and review the Accounting Systems of HTIC, including a General Ledger system, a financial statement system, and a budget system.
  • Maintain, provide input, and review the Financial System of HTIC, ensuring conformity with Generally Accepted Accounting Principles (GAAP) and Federal and State requirements.
  • Maintain and provide input on all budget information, including monthly and annual budgets and documentation supporting such budgets and any variance explanations.
  • Provide timely financial information, including various requests for financial information to determine outcomes and transferring information to our TES headquarters.
  • Outsource Accounts Receivable Management and Collection Operations.
  • All other assignments as required to maintain an efficient and effective office environment.
  • Maintain existing accounting systems, ensuring effective and efficient work programs, necessary internal controls, timely and accurate processing and closing that meets the organization's requirements, timely reconciliation of all accounting subsystems, and proper accounting documents.
  • Ensure all accounting systems comply with GAAP, provide timely reports to Federal and State agencies, and seek advice from accounting firms as needed to ensure completion of monthly processing.
  • Create, explain, and maintain all budget requirements, with detailed budgets at a minimum by monthly, quarterly, and annually. Maintain budget updates as requested; provide actual/budget variance reports.
  • Lead participation for annual audit, providing timely financial information and transmitting it to TES headquarters as needed.
  • Promote cashless transactions and simultaneously digitize accounting operations.

Schedule:

Monday - Friday; 8:30 AM - 5:00 PM (includes half-hour unpaid lunch break & start & end times may vary, as needed)

Minimum Qualifications:

  • Bachelor's degree in Accounting or a related field with a minimum of three years' experience in accounting or finance.
  • Working knowledge and use of QuickBooks (accounting software program).
  • Working knowledge of bookkeeping procedures or GAAP.
  • Working knowledge of federal and state taxation systems and application of regulations.
  • Working knowledge of budgeting.
  • General knowledge of financial audits.
  • Intermediate level of Japanese/English skills in reading, writing, and speaking.
  • Ability to generate fiscal reports for management.
  • Strong communication and problem-solving skills; self-motivated, independent worker who is detail-oriented and accurate with numbers.
  • Competent in required job skills and knowledge, with the ability to learn and apply new skills, keep abreast of current developments, and understand how the job relates to others.
  • Demonstrates required technology skills and adapts to new technologies. This role routinely uses standard office equipment (computers, telephone, photocopier, and fax machine).
