Van Der Hout LLP is a nationally renowned, full-service immigration and nationality law firm located in San Francisco's Union Square. The firm was founded in 1980, and it now has 37 staff (attorneys, paralegal and admin support). It represents clients in a wide range of immigration matters.
The firm has an opening for a full-time Front Office Coordinator. This position will provide steady receptionist support to the firm, among other vital administrative tasks. This position is full-time and in the office daily.
We are seeking a candidate to represent the firm as the initial face and voice. The ideal candidate must be detail-oriented and possess excellent communication, organizational and time management skills.
Duties and Responsibilities:

  • Greeting office visitors in a friendly and professional manner
  • Answering and fielding incoming calls
  • Processing incoming mail; including case noting in case management systems
  • Maintaining organization systems to ensure smooth office operations; including maintaining the physical office
  • Interfacing with attorneys and the firm's partners
  • Billing/clerical support
  • Scanning documents and files
  • Order office supplies and keep inventory of stock
  • Oversee catering for office lunches and events
  • Performs other duties as directed
Job Qualifications:
  • Fluent English skills, both written and verbal, are required
  • Proficiency in Spanish, both verbal and written, are required
  • Excellent phone etiquette and communication skills
  • Strong data entry abilities with attention to detail
  • Organizational skills to manage multiple tasks effectively
  • Proficient in use of Microsoft Office Suite and Adobe Acrobat
  • Associates Degree, or higher, is preferred
  • One (1) year of front office experience at an immigration office and/or administrative experience, is preferred
