Data Specialist, CRM – Office of Science & Innovation

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute. The Office of Science and Innovation (OSI) works to drive strategic and operational solutions to promote innovation and partnerships within and beyond Allen Institute research programs.
The Data Specialist will support the Senior Applications Administrator, CRM, and will serve the Allen Institute as a whole, being key in supporting the Philanthropy, Communications, and Innovation teams as well as the Office of the President. The Data Specialist will be instrumental in inputting detailed email, events, and biographical data into our growing database systems. This role requires expertise in database hygiene best practices and a continuous aim to optimize current data management processes and procedures. This is a part-time (0.5FTE) limited-term position beginning by January 6, 2025, and ending December 10, 2025.

Essential Functions
- Perform routine data entry and maintenance, including audits and syncing updated constituent data to ensure data integrity and accuracy.
- Maintain constituent records.
- Handle Smartsheet customer service requests.
- Troubleshoot customer technical needs.
- Generate reports for stakeholders and leadership as needed.
- Manage, generate, and produce constituent lists for fundraising, special events, and communications activities.
- Manage, update, and report on gifts and event registration fees.
- Maintain confidentiality of all sensitive materials and information.
- Undertake special project assignments, ranging from database cleanup to data appends.
- Other related duties, as assigned.

Required Education and Experience
- High School diploma or equivalent.
- 2 years minimum of experience in Raiser’s Edge NXT or equivalent transactional CRM.
- Advanced Microsoft 365 Office applications – Excel, Word, PowerPoint, SharePoint, Teams, and Outlook.
- Proficiency in SharePoint, Smartsheet, Microsoft Teams, and Zoom.

- Communicate clearly and concisely, both orally and in writing.
- Strong attention to detail and high data integrity standards.

- Ability to handle confidential and sensitive information.

Physical Demands
- Sitting, standing and/or walking for up to 8 hours per day.
- Fine motor movements in fingers/hands to operate computers and other office equipment.
Position Type/Expected Hours of Work
- Occasional evening and weekend hours as needed.
- This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.

Annualized Salary Range
- $43,000 - $48,750*
* Final salary depends on the required education for the role, experience, level of skills relevant to the role, and work location, where applicable.
