Essential Functions

Job Summary
The Driver and Travel Coordinator will provide high-level support to the Office of the President coordinating travel arrangements, transporting the President and other University officials and guests, and providing general office support.

Core Responsibilities

  • Transport the President and other special guests of the University to meetings and events. Oversee and coordinate the regular cleaning and servicing of the company-issued vehicle.
  • Create and maintain travel profiles and preferences, and administer accounts and information. Research, coordinate, and book transportation, accommodations, meeting venues, catering reservations, and other travel-related activities. Utilize internal accounting and IT request systems and manage record retention for travel, commercial, and transactional materials as necessary.
  • Responsible for arranging lunches for the President and invited guests. Provide assistance to executive-level staff, as needed, including office pick-up duties, and delivery of parcels and documents for the Office of the President using a university-issued vehicle.
  • Run errands for the Office of the President as needed. Provide backup for various administrative tasks. The position will be a OneCard holder and complete driver training.
  • Performs other duties as assigned.

Required Qualifications

  • High school graduate or equivalent.
  • Valid Texas class "C" operator's driver's license and must have an excellent driving record and provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident.
  • Relevant education and experience may be substituted as appropriate.
  • A disposition consistent with working in an environment with a high degree of confidentiality.
  • Demonstrate safe driving practices.
  • Ability to follow verbal directions, read maps, and follow GPS.
  • Demonstrated strength in oral communication, professional demeanor, reliability, attention to detail, and confidentiality.
  • Strong knowledge of motor vehicle maintenance needs.
  • Reliable and punctual with dedicated professionalism to the job, focusing on customer service.
  • Excellent time management skills, highly organized, and able to follow a schedule with the flexibility and adaptability to adjust due to changing schedules or routines.
  • Ability to perform and communicate in a highly professional manner.

Preferred Qualifications

  • Bachelor's degree from an accredited institution.
  • Prior UT System, UTSA, or university experience.
  • Prior experience working with a university's president's office.
  • Prior experience working for an executive or in an executive office.
  • Prior experience working with high-profile VIPs.
  • Knowledge of and ability to coach staff on UT policies and procedures, including accounting practices.
  • Proven ability to quickly learn new software. Knowledge of PeopleSoft, eForms, and SAP Concur.

  • This position is not eligible for remote work.

  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Use of manual dexterity.
  • Exerts up to 30 lbs. of force occasionally.

This position will be primarily located on campus . Travel and parking expenses are the employee's responsibility.
