Our client is a fast-growing, full-service Restoration company and due to their success and growth, they are expanding their team. They recognize the requirements for the efficient and professional delivery of the services they sell. To that end, the position of Estimator/Production Manager is created.

This position is intended to work closely with the CEO and the Estimator group to assure the timely and quality delivery of our services. The Estimator/Production Manager is a key position in the company. It is the pivot point through which all sales information related to customer requirements flow. It is responsible for the input of estimating activities and is responsible for the orderly planning of each job and the assignment and control of resources by which jobs are completed.

The Estimator/Production Manager is responsible for the recruiting and training of technical personnel, assisting in the development and training of the Estimator group when requested by the CEO, and the scheduling and execution of all job aspects necessary to meet the estimated completion requirements and conformance to customer needs.

SPECIFIC DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

EXECUTIVE MANAGEMENT SUPPORT

The Estimator/Production Manager assists the CEO in the process of company planning for the business plan, systems and procedures requirements, and other procedural aspects of the company. The preparation of status reports, statistical analysis and report preparation for the job status information, manpower requirements, and material/supply requirements may be included in requests from the CEO. In addition, the Estimator/Production Manager submits capital equipment requirements prior to the preparation of the business plan for each ensuing year.

COMMUNICATION SUPPORT

The Estimator/Production Manager is responsible to set up appropriate communication systems, including written and verbal communication processes. Forms preparation, documents, work orders, meetings, training, and the like should be set up in order to assure the smooth and clear dissemination of the information and instructions. Included in the communication process is the assurance of proper and timely work order and invoice information processing. Clarity of entries and turning in of forms to the Administrative Department is a priority function of the Estimator/Production Manager and those that are delegated the task.

The Estimator/Production Manager is also responsible for informing the CEO of those exception situations that impact the completion of a task or meeting the requirements and expectations of the customer. The Estimator/Production Manager coordinates with the CEO to develop strategies and tactics that will remedy problematic situations. This may require setting special meetings with other leadership personnel to gather all pertinent information that would assist in the resolution of the problem. The CEO makes himself available for these types of meetings on a priority basis.

PERSONNEL MANAGEMENT

The Estimator/Production Manager is responsible for the recruiting and training function as well as assuring that performance reviews take place at the appropriate time. These tasks require delegation to supervisors and other lead personnel on an “as needed” basis. Training programs for leadership and technical subject matter are part of the personnel management function. The Estimator/Production Manager participates in the establishment of wage rate schedules in coordination with the CEO on an annual basis. Position descriptions are to be prepared by the Production Manager and updated annually as necessary. The development of new position description documents is done on an as-needed basis based on the growth of the company and new technical requirements that may arise from new or different services being offered in the future.

PLANNING

The Estimator/Production Manager is responsible for preparing necessary planning documents and methods as may be necessary to assure that all pertinent information related to a job is accessible and visible for the decision-making process. Related to this planning process, the Estimator/Production Manager trains supervisors and other lead personnel in the process of job planning and scheduling. The use of the Master Job Plan is the specific thrust and purpose of this training. The Estimator/Production Manager trains all leadership that no job starts without a completed Master Job Plan.

TECHNICAL TRAINING PROGRAM

The Estimator/Production Manager is responsible for the development and continual updating of a technically oriented program to be presented “in house”. The program must be outlined by subject area with appropriate handouts for the participants. No training session is to be conducted without administering an examination at the conclusion of the training session.

CUSTOMER COORDINATION

The Estimator/Production Manager initiates necessary communication with the customer. This communication is intended to verify the input from the Estimator as to what is to be done on the job site. Communication with the customer should be written down in a job communication log in the job file. When appropriate, the Estimator/Production Manager makes notations via the handheld recorder or smartphone device to review important items impacting the job.

CHANGE ORDERS

The Estimator/Production Manager is responsible to obtain a Change Order (CO) when a task is needed to be performed that is not contained on the original scope. The CO is intended to verify, in writing, the specific and exact changes the customer wants. The customer is required to sign the CO and the Estimator/Production Manager (or other lead personnel so delegated) forwards the CO to the applicable person for review and subsequent processing through the estimating computer program and adjustment of the bill. Interface with Administration is necessary in the processing of the CO.

ASSIGNMENTS AND PRIORITIZING

In conjunction with the CEO, the Estimator/Production Manager determines the priority of tasks to be done. Following this, the Estimator/Production Manager coordinates with the supervisory staff and other lead personnel as necessary, to determine the most effective personnel to assign to the job. Changes in assignments of personnel must be processed through and approved by the Estimator/Production Manager. Priority changes should be coordinated through the CEO in order to assure that the change is consistent with meeting customer requirements and conforming to the requirements of the business plan/sales goals for that month.

PLANT AND EQUIPMENT MAINTENANCE

The Estimator/Production Manager is responsible to see that proper delegation of maintenance in plant and vehicles is performed on a systematic and timely basis. This task may be delegated to responsible subordinate personnel by preparing forms and other documentation that will verify that the maintenance function is taking place.

OTHER TASKS AND RESPONSIBILITIES

The Estimator/Production Manager is responsible to see that the integration of all components of the company is functioning smoothly and in a complimentary mode. When appropriate, problematic situations are called to the attention of the CEO. This would include such things as communication breakdowns, improper information related to a job that would produce an erroneous Master Job Plan, administrative interface that impedes the smooth and effective flow of information from the point of bid/estimate preparation on through final billing, certain existing or potential conflict situations that should be remedied before they become detrimental to the company and other situations that may arise in the course of conducting the production activity of the company.
