Job Requirements / Description

This position serves in a critical capacity supporting the implementation the hospital strategy to grow its Education Outreach efforts through national and international conference attendance. This role will oversee all of the logistical aspects of conference attendance, including negotiating with vendors, networking with conference managers, preparing internal stakeholders for conference attendance, and shipping all material for conferences. A successful candidate will need to demonstrate impeccable attention to detail, be able to work independatly, be able to rely on their own judgement to problem solve and be able to multi-task. The right individual will be a member of a team that is passionate about educating the world about the impact of conditions such as depression, anxiety, and trauma disorders.
Core responsibilities include:
Coordinating all logistical details related to conference attendance. This can include working with internal resources, vendors, exposition/exhibitor companies and interfacing with conference management personnel. Maintain annual conference attendance and coverage schedule.
Identifying and negotiating sponsorship opportunities, managing fees, registration and other project-based budget items and ensuring that payments are made and executed on time.
Use of project management platform to add and manage tasks related to conference attendance, including detailing due dates for digital/print assets, logos, payments, booth selection and call for papers.
Packing/shipping of displays and materials to conferences and events.
Qualifications
Bachelor's degree or equivalent years of experience being responsible for organizing and delivering projects in a marketing/education environment. Health care, life science experience preferred but not required.
