Job Overview
Reports to the Arts Events Manager, providing project coordination for Conservatory events requiring production and hospitality support, such as Conservatory concerts and guest artist visits/residencies. Oversees house and stage management for all major Conservatory events, including Chicago Symphony Orchestra, Christmas Festival, Children's Concert, Commencement Concert, and other events, as assigned. Additionally, serves to support promotional needs of the Marketing Specialist in the Arts, such as print, email, web, social media, and digital communications. Hours flex with performance schedule. This is an hourly full-time position
Schedule: 35/11; 1670 hrs. annually .80 FTE, Gold benefits
Duties and Responsibilities
  • Hires, manages, and trains student staff on stage and backstage protocols, oversees their duties at performances, ensuring that the box office is staffed and operating at event venues, including the hiring, managing and training of student ticketing staff.
  • Oversees the web-based ticketing program, system programming of events, set up of users, and sales reporting to tie out after each event. Trains new users on the ticketing system and oversees ticket sales for Artist Series, Christmas Festival, Music Camp, Opera Mainstage, Arena Theater, College Union, Athletics, and Commencement. Maintains the necessary computers/hardware for ticket sales, including the secured credit card devices.
  • Attends Conservatory concert events as Head Manager, specifically overseeing the backstage staff and coordinating with the tech staff for start of performance and other related communications. Events listing of major performances requiring Head Manager to attend: Children's Concert, Homecoming, Family Weekend, Christmas Festival, Artist Series events, Opera Mainstage, Chicago Symphony Orchestra, and Commencement events.
  • Adheres to current college risk management, safety, and security procedures for all events and sees that event personal are properly trained in emergency procedures, CPR, and defibrillator use.
  • Assists, as needed, with the front of house hospitality and usher staff at performances.
  • Schedules and coordinates activities of Guest Artists for performances and residencies, providing necessary hospitality and travel arrangements.
  • Assists the MSA, as needed for details related to the marketing and promotion of events, such as, updating the website concert pages and ticket sales information.
  • Assists with fundraising events and planning as it relates to the special needs of the Division.
  • Other duties as assigned.

Qualifications
  • College degree required, music degree highly preferred
  • Event planning and management experience highly desirable
  • Strong verbal communicator, listening skills and problem-solving ability
  • Self-starter, motivated, and energetic
  • Excellent organizational skills, efficient, detail-oriented, able to multitask with ease.
  • Evening and weekend work required.
  • Proficient with various digital tools, including Microsoft Office Teams, Excel and Word; Familiarity with Spektrix, Wordpress, Terminal 4, credit card capture devices

Physical Requirements
The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 10 pounds. Pushing, pulling and moving of stage equipment is often required.
