Senior Payroll Administrator - Hybrid in Office, Princeton Junction, NJ


About the role:

We seek highly dedicated, motivated, and passionate Payroll Administrator who can use the right tools to find the best solutions to problems. As part of our finance team, you will play an important role in the efficient, timely, and accurate processing of payroll. You will also be responsible for handling employee inquiries and work with other team members to ensure payroll is processed in compliance with statutory regulations, as well as act as the payroll point of contact in the absence of the manager.


Key responsibilities:

Assist in the payroll processing workflow and tasks necessary to accomplish accurate and timely payments to all employees in the US and globally.

Update payroll records by entering changes in exemptions, insurance coverage, savings deductions, and department/division transfers.

Process payroll and perform final checks when needed.

Assist payroll supervisor in calculating bonuses and commissions where applicable.

Assist payroll supervisor with timesheet and payroll adjustment reviews prior to payroll closeout.

Assist with calculating monthly on-call and insuring accuracy in payments.

Assist with running payroll reports ensuring accurate processing of payroll.

Helping all locations with correct employee allocation and accesses as needed.

Ensure payroll is processed timely and accurately while maintaining a high level of confidentiality.

Assist with access, enrollment, and beneficiaries for global retirement accounts. 401(K) in the US, RRSP in Canada, and Swedish Pension.

Create Payroll Adjustment forms for payroll increases, promotions, bonuses etc.

Research, analyze and resolve discrepancies, reporting to management as needed.

Audit and ensure proper onboarding of new employees.

Participate in month-end, quarter-end, and year-end global payroll reporting.

Assist senior members of the accounting staff in preparing budgets.

Ensure compliance with organizational guidelines, procedures, and state and federal regulations.

Assist in payroll, workers compensation and 401(k) audits.

Processing expense reports.

Participate in payroll orientation for US and Canada new hires.

May be required to perform other duties as assigned or as needed.


You must have:

Bachelor's degree in accounting, finance, a related area, or equivalent work experience.

Five to ten years experience processing payroll in both hourly and salary in an organization with 100-500 employees.

Experience with General Ledger (GL) and Journal Entries.

Experience processing multi-state US and Canadian payroll is required, including knowledge of federal and state payroll regulations and requirements, PTO accruals, wage deductions, fringe benefits, and other pay-related issues.

Experience with employee benefits such as retirement accounts and FSA, 401(K), and Canadian RRSP.

Advanced competency in Microsoft Excel


Skills and qualifications:

Sound understanding of accounting and financial reporting principles and practices.

Must have strong technical skills, including proficiency with automated payroll processing services.

Analytical mind with strong conceptual and problem-solving skills.

Meticulous attention to detail with superb organizational skills.

Ability to work under pressure and meet tight deadlines.

Critical thinker with high proficiency in math.

Ability to work independently or as part of a team.

Ability to maintain a high level of confidentiality.


It will be very good if you have experience in:

Global payroll experience

Experience with NetSuite.

Experience with expense software Concur is a plus.
