Someone who is process-driven, extremely detail-oriented, and has supported an Executive in a remote capacity. Previous experience in finance is preferred. This is a mainly in-office role 4+ days/week in the Presidio. 150-180K+ DOE + a great bonus!

Responsibilities:

  • Provide daily administrative support to the Founder & Managing Partner alongside his other Executive Assistant.
  • Coordinate meeting schedules, including board meetings, and arrange travel while providing detailed travel itineraries, working closely with a UK-based Executive Assistant.
  • Arrange meeting logistics and prepare agendas and meeting decks to ensure all necessary materials are ready.
  • Handle daily email correspondence, prioritize important messages, and ensure timely responses. Act as a point of contact between the Founder and internal or external parties.
  • Track and manage ongoing projects and tasks to ensure they are progressing as planned.
  • Liaise with accountants to maintain records and updates.

Qualifications:

  • Proven 5+ years of experience as an Executive Assistant, ideally in the finance sector.

  • Excellent communication skills, both written and verbal, with a polished and professional demeanor.
  • High level of discretion and a preference for maintaining a professional rather than personal relationship with the Founder.
  • Ability to handle accounts receivable/payable and general bookkeeping. Familiarity with financial and accounting spreadsheets is preferred.
  • Extremely detail-oriented and organized, capable of managing multiple priorities in a fast-paced environment.
  • Comfortable with a mostly remote working relationship with the Founder and other team members.
  • Direct and clear communication style, able to handle direct feedback and work independently without taking matters personally.
  • Ability to be available when needed outside of business hours.
