ENGAGEMENT MANAGER (EA to CEO)

Naked Farmer is a pioneering farm-to-table restaurant group with multiple locations across Florida, cooking and serving scratch-made, healthy, and affordable meals. Our restaurants celebrate the seasonality of vegetables and the spirit of innovation, striving to create a sustainable food system that strengthens the connection between farmers and the community.

ABOUT THE ROLE:

We’re in search of someone with the potential to become the best Executive Assistant in the world. The ideal candidate will work one-on-one with our CEO to maximize their time and impact our organization. The role will include traditional responsibilities like calendar management as well as unique opportunities like helping the CEO strategically invest in their relationships.

We’re headquartered in Tampa, Florida with locations throughout Miami, Ft. Lauderdale, Sarasota and St. Petersburg and entering a period of expansion across the Southeast US, but the job’s location can be anywhere in the US. Work will be mostly be via web and phone and hours of work will be based on US East Coast time.

All training and work can be done remotely wherever you are. You need to have high-speed, reliable internet.

RESPONSIBILITIES:

Task & Time Management

  • Record all tasks assigned and perform in appropriate systems
  • Keep accurate and detailed records of time spent on tasks in appropriate system
  • Prioritize different types of tasks and meet deadlines
  • Consistently stay up to date on task management and communicate effectively regarding what is most important

Calendar Management

  • Manage Executive’s time based closely on their priorities
  • Have confidence and sound judgment in pushing back on the Executive when they get distracted from their top priorities
  • Expertly maintain and update calendar based on the Executive’s preferences in a fast-paced environment
  • Ensure all meetings are setup for success, including having accurate locations, contact details, links, codes, agenda and note-taking
  • Confirm appointments and alert the Executive of any conflicts or updates

Meeting Management

  • Track action items committed to in meetings
  • Plan for future interactions that the Executive may want to deliver to their network
  • Create follow-up emails based on information provided by the meeting owner
  • Record information collected from the meeting owner in a contact database

Email Management

  • Process emails for the Executive and indicate priority of emails in their inbox
  • Draft email responses when possible that the Executive can edit and send
  • Scan and extract valuable information communicated via email
  • Alert Executive of any urgent emails that need to be seen or acted on
  • Clean unnecessary noise in the inbox that the Executive doesn’t need to see
  • Identify opportunities to produce new interactions based on context gathered via email review

Management of Contact Database

  • Update existing contact information
  • Manage LinkedIn posts, connections regularly communicating to community about recent happenings and news, scaling intimacy across the Executive’s network
  • Maintain contact database organization

Research Management

  • Perform various internet-based research
  • Perform prospect research

KPI Tracking, Reporting and Facilitation

  • Track KPIs in our business through regular reporting and communication to key stakeholders
  • Empower the CEO to stay connected to our team by delivering deeply meaningful 1:1 experience at scale
