Job Description:

As a Legal Assistant, you will handle a variety of tasks such as answering phones, assisting clients, and supporting case managers with file management and administrative duties. You will also help with opening claims, requesting records, maintaining client files, and ensuring excellent communication with insurance companies. The ability to multitask in a fast-paced environment is essential. Reception duties are part of this role, and a professional phone presence is required.


Responsibilities include but are not limited to:

  • Answer and route calls, ensuring excellent phone etiquette.
  • Communicate with clients and insurance companies, gathering necessary details for case files.
  • Open insurance claims, providing essential information.
  • Draft and send welcome letters, file-opening documents, and maintain accurate client records.
  • Request Traffic Collision Reports (TCR) and medical records; follow up as needed.
  • Assist with scanning, saving, and renaming files, including mail and checks, and organizing documents into the firm's digital system.
  • Assist in setting up medical appointments, coordinating property damage claims, and updating files with insurance and vehicle information.
  • Follow up with insurance adjusters on liability and policy limit requests, ensuring timely case progression.


Qualifications:

  • Minimum of 1 year of legal assistant or administrative experience, preferably in personal injury.
  • Case management experience is a plus.
  • Bilingual in English and Spanish.
  • Proficient in Google Docs, Sheets, etc.
  • Strong time management and organizational skills.
  • Positive attitude, eagerness to learn, and adaptability to new processes and technology.
  • Ability to work independently as a self-starter.
  • Comfortable managing a high volume of calls and multitasking effectively.
  • Excellent communication and interpersonal skills.
  • Strong knowledge of personal injury law and insurance terminology.
  • Must be authorized to work in the U.S.
  • Highly organized with excellent attention to detail.
  • Ability to work under pressure while maintaining a good sense of humor.
  • A solid work ethic and positive attitude.
  • Experience managing a heavy caseload in the personal injury field.
  • Familiarity with Filevine case management software (preferred, but not required).
  • Professional demeanor and quick learner.
  • Must be able to reliably commute or plan to relocate to Los Angeles, CA before starting work.
