The Manager(s) of Hospital Services is responsible for the day-to-day activities of the Southwest Transplant Alliance Hospital and Family Services Coordinators and assists in directing regional hospital service activities throughout the Southwest Transplant Alliance service area. Responsibilities include the development and management of all education processes, policies hospital relationship activities, medical record review process, data gathering and analysis, writing of hospital development plans and reports of the Hospital Services Associates and Supervisors which will help facilitate the donation referral process. Additional responsibilities include directing the development and coordination of orientation and training of new hospital services staff and other personnel who provide hospital services, as well as any special projects which may be assigned by the Southwest Transplant Alliance (STA) Director of Hospital Services. They will be expected to actively participate in efforts of resource planning, monitor productivity, and quality, and reallocate duties as needed to improve initiatives through the donor service area. The Manager of Hospital Services will be expected to promote excellent, internal, and external customer service.

EDUCATION AND WORK EXPERIENCE QUALIFICATIONS

  1. Bachelor’s degree in business, marketing, life sciences, public relations, counseling, ministry, social work, or communication is required.
  2. A minimum (4) years’ experience working in a hospital, health care, or similar setting, to include (2) years of supervisory management capacity.
  3. Experience with physicians, OPO, Tissue Banks, medical and death examinations, ICU, critical care, funeral homes, hospice, ORC, transplant centers, and justice of the peace, is a plus.
  4. Demonstrated familiarity with hospital systems and hospital personnel structure.
  5. Strong interpersonal, communication, and presentation skills.
  6. Demonstrated ability to establish relationships and work diplomatically with key stakeholders.
  7. Ability to develop relationships with clients of diverse backgrounds in all areas of a health care organization.
  8. Ability to navigate through a fast-paced critical care hospital environment is essential to being successful in this role.
  9. Must have the ability to communicate effectively with all levels of personnel and to represent the organization professionally.
  10. Ability to work both independently and as part of a team required.
  11. Ability to cope with high levels of stress and able to handle a heavy workload.
  12. Ability to work alternate hours and respond to referrals and other situations requiring their presence and expertise.
  13. Ability to travel in light and commercial aircraft or drive his/her personal auto to meet all job duties and responsibilities. Current Driver’s License required.
  14. Proficient in MS office, Word, Excel, Power Point.

ESSENTIAL JOB FUNCTIONS

  1. Community and Dallas based rounds are expected to build and maintain relationships with staff, supervisors, and business partners with follow-up to Director as requested.
  2. Collaborates with family services and other department leadership to ensure STA personnel are adequately prepared to present a continuous positive service delivery response and professional image of the organization.
  3. Collaborates with family services and other department leadership to promote and achieve cross-departmental service delivery goals and develop and implement an assessment tool for the purpose of monitoring hospital partners relationships.
  4. Collaborate with Education representatives to develop and implement a comprehensive educational program for organ, eye and tissue that meet all organizational goals.
  5. Monitor and review the time accounting of hospital services staff as performed by department supervisors.
  6. Annually, assist in conducting a performance appraisal based upon mutually agreed upon department goals for hospital services staff.
  7. Annually, work to develop and implement professional education activities and employee orientation/continuing education and training programs.
  8. Annually, assess DSA hospital needs related to the donation process, and implement strategies which address identified needs.
  9. Provide mentorship, coaching, support and motivation to hospital services supervisors and staff.
  10. Assist in maintaining that hospital marketing and contact plans are developed and adhered to by the hospital services staff.
  11. Annually, contribute toward the achievement of individual or group goals related to specific job performance standards.
  12. Assist in recruiting, coordinating interviewing, and training hospital services staff through growth and development.
  13. Participate in weekly management, staff, and operations meetings, as well as ensure monthly department meetings are being managed by Supervisors/their team for relevant content and structure.
  14. Regularly report information to the Director of Hospital Services on how to extend and improve Southwest Transplant Alliance’s performance through continuous improvement and by presenting monthly/quarterly data/report cards.
  15. Generates, and tracks key performance indicators and reports as assigned by Director.
  16. Assures quality assurance through partnership with data intelligence.
  17. Responsible for cultivating relationships that support successful donation processes throughout STA’s donor service area and throughout the healthcare industry.
  18. Cultivate and execute strategic initiatives of the department in collaboration with the Director of Hospital Services and Business Partner Relationships.
  19. The position will build relationships and assist the Director when liaison needs are tasked between STA and its partner health centers.
  20. Partners with the Director to monitor department budgets, reconciliations, preparation of monthly/quarterly reports.
  21. In collaboration with the Director, to ensure any implementation is aligned with the organization's best-known practices and the needs of the partner healthcare center.
  22. Attends community engagement events and serves as a spokesperson for the organization when needed.
  23. Monitors individual and team performance results and opportunities for improvement.
  24. Maintains collaborative team relationships with peers and colleagues to achieve goals and foster a positive work environment.
  25. Oversee and support the leaders of the day-to-day activities for the Hospital Services department and provide administrative and/or on-site support when needed.
  26. Runs a data driven operation and collaborates with leadership and frontline staff throughout the donor service area to ensure specific and measurable outcomes can be realized.
  27. Provide 24/7 support for all Hospital Services operations-related activities as needed.
  28. This role will require 25% of business travel.
  29. Other functions may be assigned by the supervisor and management retains the right to add or modify the duties at any time at its discretion.
