Work Schedule
The UCAE is open from 8:00am to 7:00pm Monday through Thursday and from 8:00am until 5:00pm on Fridays.
Work schedules are flexible within those operating hours including up to one day of telework each week. Some evening and weekend hours will be required.
Primary Purpose of Position
The primary purpose of the Office Manager position is to conduct all business operations in support of University Center for Academic Excellence (UCAE) programs including budgeting, customer support, inventory control, purchasing, payments, travel arrangements, and student personnel recruitment and hiring coordination.
The UCAE Office Manager is the primary business support position for the department, providing administrative support to the Director and reporting directly to the Director.
Minimum Education/Experience
Required Minimum Qualifications:
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Graduation from a four year college or university and one year of related experience; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Essential Job Duties
Financial duties:
  • Monitor and reconcile 6+ budgets.
  • Generate and track budget projections for supplies, travel, and wages.
  • Support all business transactions.
Personnel support:
  • Support searches for student employees and professional staff.
  • Process new hire paperwork for student employees.
  • Coordinate and own the Federal Work Study verification process with Undergraduate Education partners and Financial Aid representatives.
  • Organize and maintain all employee records.

Administrative support:
  • Oversee and coordinate inventory controls and staffing needs at all UCAE locations.
  • Assist with the planning, implementation, and evaluation of UCAE events.
  • Make independent decisions on office procedures, handle departmental situations, and create ad hoc reports and process flows.
  • Assist in the preparation, data management, composition, editing, drafting, and proofreading of the Annual Report, Business Continuity Plan, and other UCAE reports.


Other Work Responsibilities
  • Understanding and researching all applicable university policies and procedures.
  • Conducting information analysis and independent decision making.
  • Maintaining web page content.
  • Maintaining privileged access records.
  • Providing administrative support to UCAE programs as needed.

Departmental Preferred Experience, Skills, Training/Education
  • Bachelor's degree in business administration or a related discipline from an appropriately accredited institution; or an equivalent combination of demonstrated training.
  • Three years experience of progressively responsible administrative/office management experience supporting management at a college, university, or corporate environment.
  • 2 -5 years of experience in purchasing and/or managing a budget.
  • Advanced working knowledge of Microsoft Office Suite and Google Workplace products.
  • Demonstrated experience with Banner Finance, Banner Student , 49er Mart, EAB Navigate, NinerWorks, Malibu, and Word Press or equivalent software.
  • Ability to adapt by exploring and adopting new and emerging technologies.
  • Excellent written and verbal communication skills.
  • Demonstrate teamwork by working cooperatively with others and contributing to group solutions.
  • Strong attention to details.
