We are the exclusive recruiters seeking a Litigation Secretary with a minimum of 3 years' civil litigation experience and a Legal Administrative Assistant for the Los Angeles office of a top AmLaw 100 firm. This firm started 35 years ago and has offices in LA, and across the country. The successful candidate will have experience with filing in state and federal court, and will have a keen attention to detail, as well as excellent organizational and computer skills. A high degree of professionalism, ability to work independently, and ability to work as a member of a dynamic, high-paced litigation team are also desired skills. In addition, poise, interpersonal and above-par communication skills are also required.

Each desk is busy and the attorneys are nice but it will take someone extremely organized and tech-savvy to be successful. Someone who knows TOA’s & TOC’s and has e-filing experience will do very well. A level-headed capable legal assistant who is okay with last-minute changes and is familiar with FileSite and iManage and able to prioritize when things get busy. The attorneys focus on business litigation and corporate/real estate but candidates can have any kind of litigation or general legal experience as long as they have a strong skill set. The desks are each for 2 partners and 2 associates.

Duties and responsibilities include:

  1. Prepare correspondence and legal documents
  2. Electronically file and serve court documents
  3. Manage attorney calendars
  4. Attorney time entry
  5. Schedule and organize meetings, travel, and seminars
  6. Maintain electronic filing system and retrieve information and documents as needed
  7. Handle high volume of email and phone calls
  8. Draft written responses or reply by phone or email to requests for information
  9. Type and proofread general correspondence; create charts, tables, graphs, and business plans as needed
  10. Process vendor payments and attorney expense reports
  11. Prioritize workflow with little or no supervision
  12. Attend meetings and follow up on action items
  13. Training of other support personnel and miscellaneous other tasks as needed

Skills:

  1. Typing, proofreading, and attention to detail
  2. Proficiency with electronic filing systems used by CA and federal courts to file pleadings
  3. Advanced computer skills, including knowledge of Word, Excel, and PowerPoint
  4. Advanced knowledge of general office equipment and law firm systems
  5. Excellent written and verbal communication skills
  6. Ability to analyze problems, take initiative to solve problems and improve processes
  7. Knowledge of CCP and FRCP
  8. Knowledge of USPTO PTAB E2E online filing and docketing system preferred

Education and Experience:

  1. High School Diploma or equivalent/Associate Degree preferred
  2. Minimum 3 years' civil litigation experience in California state and federal court
  3. Paralegal certificate from ABA approved program preferred
