Job Requirements / Description

The Accounts Payable (AP)/Payroll Specialist ensures that the organization’s vendors are paid on time and manages the payroll functions of the organization, ensuring employees’ pay is processed on time, accurately, and in compliance with government regulations.

Primary Responsibilities

  • Processes payment invoices on a regular basis, reviewing general ledger information for accuracy
  • Performs reconciliations of accounts payable accounts
  • Addresses and responds to vendor inquiries
  • Uploads files for payment through the bank
  • Enters wire transfers as necessary
  • Processes/mails/submits form 1099s annually
  • Calculates relevant accruals on an annual basis
  • Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Prepares and maintains accurate records and reports of payroll transactions
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Work with outside vendors for 401K, FSA and HSA processing
  • Facilitates audits by providing records and documentation to auditors
  • Issue W2s annually
  • Once comfort with the AP and Payroll processes is established, may add bank reconciliations and/or investment reconciliations to assignment
  • Performs other related duties, as assigned

Education & Experience

  • High school diploma or GED, Associates Degree in Accounting preferred
  • Proficiency with Microsoft Dynamics preferred
  • Proficiency with Paylocity preferred
  • Three to five years of AP and Payroll Processing experience preferred
  • This position may require extended periods of standing, sitting, as well as some repetitive movements, bending and repetitive lifting of minimal weight.
