Strategic Intent
The Catering & Conference Services Coordinator will take full responsibility for assisting members of the Catering Sales & Events team with general administrative duties associated with the hotels' clients. The Catering & Conference Services Coordinator will represent the Catering Sales and Events department both internally and externally. They are a vital source of support for the Catering team and overall assist in the hotel achieving its goals and objectives.
Organizational Structure
REPORTS TO: Director of Catering & Conference Services
General Duties and Responsibilities
• Handle all incoming and outgoing correspondence.
• Will assist 2-3 managers as assigned by the Director of Catering & Conference Services
• Maintain department filing system.
• Arrange appointments and meetings for Catering and Event Managers and Department.
• Produce and keeping meeting packs and other Catering Sales material.
• Maintain stationary storage and inventory levels.
• Compile reports and other statistical information as requested, including
Delphi/Market Vision daily and weekly reports.
• Conduct research and prospecting calls achieving goal as set out by the catering sales manager.
• Organize hotel familiarization visits.
• Ensure Delphi/SalesForce input and profiles comply with The Watergate Hotel standards.
• Maintain accurate database of all information for relative contacts (organizers,
third parties, influencers & end users).
• Set example for all associates to emulate by complying with all hotel policies and procedures.
• Account for departmental expenditure through the hotel's check-book as and when requested.
• Produce and submit purchase orders according to the hotel's procedure, as requested.
• Complete and perform a variety of other related tasks and projects as assigned.
Requirements:
Experience and Requirements
Must possess 1+ years of direct, related administrative experience; those with luxury hotel sales and marketing and/or hotel operations experience will be preferred.
• Solid administration skills including (but not limited to): accurate and timely filing,
proofreading and editing documents, managing multiple incoming telephone calls,
faxing, mailing, emailing and creating various business documents required.
• Typing skills of at least 50 words per minute.
• Excellent communication skills (both written and verbal) with fluency in English required.
• Computer proficiency is required with proven abilities in MS Office, Word, Power Point,
Excel; those with prior experience utilizing Opera and Salesforce will be strongly preferred.
• Prior experience assisting with travel arrangements, expense reports, trade show bookings
and shipments is preferred.
• Ability and willingness to work flexibly including early mornings, evenings, weekends and Holidays-
as business needs requires.
• Must possess superior multi-taking skills and the ability to work well in a fast-paced environment
