POSITION TITLE : Receptionist
CLASSIFICATION: Non-Exempt

POSITION OVERVIEW:

ADB is seeking a Receptionist to welcome and direct visitors, manage security protocols, and handle various administrative tasks such as answering calls and emails, maintaining office supplies, and signing for deliveries. This position entails providing support to leadership by managing calendars, coordinating travel arrangements, and handling confidential matters with discretion. It also involves overseeing the nationwide travel program, educating new users, and generating monthly travel spend reports.

ROLES AND RESPONSIBILITIES:
  • Greet and direct visitors courteously upon arrival
  • Notify relevant team members of visitor arrivals promptly
  • Monitor security cameras to ensure safety protocols are followed
  • Handle incoming calls, emails, and provide assistance to customers and candidates
  • Issue visitor badges following security procedures
  • Maintain organization and cleanliness of reception area and lobby
  • Keep records of office supplies, inventory, and expenses
  • Sign for deliveries and ensure proper distribution of mail and packages
  • Oversee shipping program - printing labels, monitoring and track spend, generating reports for management
  • Assist in managing leadership's calendar and scheduling meetings or travel arrangements
  • Provide project support to management and administrative staff as required
  • Arrange and modify travel plans efficiently, including last-minute changes
  • Act as a central point of contact for executives, team members, and clients
  • Handle confidential matters with discretion and professionalism
  • Assist in formatting internal and external communications materials
  • Track and manage external printing requests and ensure accuracy of printed materials
  • Attend meetings and record minutes accurately
  • Maintain expense records and reconcile credit card statements
  • Assist in organizing special events and ensure timely completion of tasks
  • Coordinate with facilities management to meet building needs
  • Supervise the nationwide travel program and liaise with travel management company
  • Register new users into the travel booking tool and provide training
  • Offer ongoing support and education to registered users
  • Generate monthly travel spend reports with analysis
  • Adapt to a demanding work schedule including early mornings, evenings, and weekends
  • Foster strong relationships with support team members to achieve goals
  • Perform any additional duties assigned by leadership as needed

WORK ENVIRONMENT:
  • This position operates out of corporate headquarters in an office environment, located at 18777 US Highway 66 Pacific, MO 63069
  • This role routinely uses standard office equipment such as laptop computers, projectors, copy/fax, and smartphones

EXPERIENCE AND EDUCATION:
  • 1-2 years of experience in an administrative role
  • Proficient knowledge of Microsoft Office
  • High School Diploma or equivalent required
