The Manager, Office Administration - Silicon Valley ("OA") oversees the smooth operation of the Silicon Valley office. Working closely with the Managing Director, Human Resources & Office Operations - US ("MD"), the Office Chair of the Silicon Valley office, and other firm leaders, the OA manages operations and executes a variety of firm initiatives for the Silicon Valley office ("SVO").

The Manager, Office Administration - Silicon Valley ("OA") oversees the smooth operation of the Silicon Valley office. Working closely with the Managing Director, Human Resources & Office Operations - US ("MD"), the Office Chair of the Silicon Valley office, and other firm leaders, the OA manages operations and executes a variety of firm initiatives for the Silicon Valley office ("SVO").
What You Will Do:
- Overall management of the Silicon Valley secretaries and executive assistants (EAs). Ensures the secretaries and EAs are operating at a high level, at peak efficiency, and providing top client-service to our attorneys, leaders and clients. Works with the MD, the Office Operations team, and the Talent team on strategic initiatives pertaining to secretary and EA training, utilization, efficiency and performance management.
- Overall responsibility for space management. Works with the Office Chair as well as the Real Estate and Facilities team to allocate office space, perform capacity analyses, execute office moves, and design and retrofit office space. Works on initiatives designed to efficiently and effectively make use of our existing office space.
- Works with Facilities, Event Planning, and Catering/Conference Services to ensure top service in the areas of office services, conferencing and catering, event and meeting planning, reception services, copy/mail center, facilities management, internal office moves and records management. Daily oversight of tasks managed by the firm's office services outsourcing vendor to ensure premium quality of service to all partner, employees and external clients who frequent the Silicon Valley office.
- Liaises regularly with property manager and building lobby attendant to ensure continuity of service for the firm specific to parking garage and general building access, visitor access, maintenance requests for firm specific facilities repairs and enhancements, and building safety and emergency procedures.
- Coordinates with all firm Global Operations functions to assist with the development and implementation of firm policies and procedures.
- Works with the firm's local IT staff to ensure high level of technology services including, but not limited to, hardware, software, applications support, and videoconferencing.
- Partners with the Talent team, local HR Business Partner and appropriate leaders in support of recruitment, orientation, onboarding, performance management, and development, mentoring and coaching for GO Team members in SVO.
- Partners with the Events team and appropriate leaders on the planning of engagement and community events for the Silicon Valley office.
- Works with the MD and Office Chair to:
- Manage the relationship with office services outsourcing vendor (Williams Lea) to ensure excellent services are provided, consistent with the firm's national contract;
- Oversee the purchasing of supplies, and the purchasing, leasing, repairing and maintenance of furniture, equipment and fixtures;
- Administer office safety, business continuity and emergency programs;
- Support office-related initiatives;
- Provide various types of ad hoc information to the Office Chair.
- Works with the MD, the Managing Director, Real Estate & Facilities, and the Office Chair to establish the office annual budget and manage costs to budget.
- Works with Finance to ensure compliance with firm accounting, billing and timekeeping practices.

- Minimum of 10 years' experience in law firm management required, preferably at an AmLaw 100 firm.
- Bachelor's degree preferred.
- ALA CLM certification preferred.
