About us: A division within the Department of Emergency Medicine, the Center for Disaster Medicine (CDM) ( houses numerous grant-funded programs that focus on Disaster Medicine, Healthcare Preparedness and Emergency Management, and High Consequence Infectious Diseases. The two programs this role will support are the Regional Disaster Health Response System (RDHRS) and the Regional Emerging Special Pathogens Treatment Center (RESPTC). The CDM team is comprised of interdisciplinary subject matter experts, including national and international experts in their fields, leading the development of preparedness programs and resources to meet current and future healthcare challenges.

About the Work: Under the direction of the Director of Funded Projects and the RDHRS and RESPTC Program Managers in the Center for Disaster Medicine, the Senior Project Manager, Training and Exercise will work on the RDHRS and RESPTC programs supporting training on All Hazards, with a strong emphasis on High Consequence Infectious Diseases, for healthcare organizations across New England. Additionally, they will support the development of Integrated Preparedness Plans for the two programs. The incumbent will lead training initiatives for the RDHRS, including regional training programs for the New England states. Responsibilities will include: provision of subject matter expertise, project management, stakeholder and/or collaborating partner engagement and management, meeting management and facilitation, and input into data analysis and reporting.
Operational Responsibilities
- In coordination with the broader RDHRS and RESPTC program leadership teams, develop and maintain an Integrated Preparedness Plan (IPP) for each program.
- In collaboration with the program teams, develop and maintain the annual training calendar for each program in support of the IPP and program initiatives.
- Maintain administrative oversight for meeting/exercise coordination, scheduling, presentation materials, and event logistics for all aspects of the program.
- Serve as a lead contributor to and subject matter expert for the conduct of After Action Reviews (AARs) for exercises, and if needed, for activations of the RESPTC and RDHRS programs.
- Provide guidance and support, including template development, to support subject matter experts, in the development and delivery of training content.
- Support training and exercise-related technical assistance for the RDHRS and RESPTC programs within Region 1.
- Utilize the Learning Management System (LMS) to deliver appropriate content to the RESPTC and RDHRS emergency response team.
Project Management
- Manages multiple aspects within the RDHRS and RESPTC programs and assumes leadership responsibility for all assigned projects simultaneously.
- Coordinates a diverse group of stakeholders and collaborating partners to set goals for specific project activities and designs, implements and oversees processes to ensure key tasks are completed in an appropriate and timely manner.
- Attends all relevant meetings; contributes ideas and monitors the planning process as required.
- Escalates identified delays and/or challenges with specific projects as necessary to ensure steps towards remediation are taken.
- Prepares and contributes to programmatic reports, as assigned.
Logistics
- Collaborates with RESPTC and RDHRS leadership to ensure that necessary supplies and technology are available to support activation, training and exercises.
- Supports the maintenance of training supplies and associated equipment for the RESPTC and RDHRS programs.
Financial Management
- Provides input into annual budget development and is a responsible steward of program and hospital resources.

- Familiarity with project management/task tracking software such as Smartsheet.

- Familiarity with/experience in Emergency Preparedness or Disaster Response preferred, especially in the hospital and/or healthcare setting.
- Experienced and working knowledge of the Hospital Incident Command System (HICS) preferred.
- Completion of ICS/NIMS 100, 200 before or upon hire.
- Completion of IS 120C and IS-130A courses before or upon hire and a willingness to complete additional HSEEP training, if not already completed.
- Expertise with Microsoft Office applications including Word, Powerpoint, Teams, and Excel.
- Ability and interest in learning new software applications, such as a Learning Management System.
Education Background: Bachelor's degree required, Master's preferred.
Experience: 1-3 years of relevant experience required; 2-3 years of relevant experience preferred.
Working Conditions: This position will be hybrid in nature and the incumbent will work with their supervisor to establish a final schedule; however, candidates should anticipate being on campus 3 days per week. Normal office conditions. May be required to travel to partner facilities as needed. May occasionally be required to attend meetings outside of regularly scheduled hours and is available by pager/cell phone outside of normal business hours during assigned Duty Officer shifts. May be required to report to the hospital or offsite locations outside of normal business hours to respond to events that require emergency support. May be required to work extended shifts for multiple periods during emergency events.
