Job Purpose:
The Human Resources Coordinator assists the Human Resources Manager with the implementation of Human Resources and Company policies and procedures.
The HR Coordinator supports the HR department, assists the HR Manager with various department related projects, recruiting, logging, activities and/or program implementation as aligned with overall organization and department goals and objectives. This includes logging documents for legal compliance. The HR Coordinator must practice high level of confidentiality due to HR data and ensure HR files are secure.
Essential Job Functions:
HR Responsibilities:
- Support HR Functions: Assist with recruiting, benefits administration, leave of absences (LOA), workers' compensation (W/C), and Affirmative Action Plan (AAP) processes.
- Benefits Management: Address employee benefit inquiries, manage open enrollment, ensure timely new hire enrollment in benefit plans, reconcile invoices, and implement ACA requirements.
- Recruiting: Aid in full-cycle recruitment, including job posting, sourcing, pre-screening candidates, scheduling interviews, conducting reference and background checks, preparing offer letters, and clearing candidates for employment.
- Onboarding: Prepare new hire packets, coordinate and conduct new hire orientations, manage onboarding tasks (e.g., business cards, phone setup, access badges), and ensure new hire paperwork is complete and compliant.
- Workers' Compensation: Maintain OSHA 300 logs, manage WC leave cases, process claims, and facilitate return-to-work and accommodations.
- Affirmative Action Plan: Update AAP logs, compile data for consultants, and prepare for annual AAP review.
- Compliance: Ensure HR compliance with regulations, including maintaining up-to-date HR posters and plans (OSHA 300, Affirmative Action).
- Legal Knowledge: Stay informed about HR laws and compliance issues through ongoing education and training.
- Employee Guidance: Provide guidance on HR processes and policies, addressing any related questions.
- Confidentiality: Maintain high levels of confidentiality with HR data and secure HR files.
Administrative Responsibilities:
- Provide administrative support by managing information requests, preparing correspondence, filing, scheduling, and arranging conference rooms.
- Facilitate customer and client visits by greeting them, coordinating catering, and organizing meeting spaces.
- Schedule meetings and itineraries for employees, as assigned.
- Assist in coordinating company-wide meetings and morale events, including luncheons and holiday functions.
- Deliver exceptional customer service to internal employees and external customers/vendors.
- Conduct research and compile data for various projects.
Qualifications:
- Associate Degree (Required).
- Bachelor’s Degree (Preferred).
- Minimum of 2 years’ experience in HR.
- Strong ability to meet deadlines and manage time effectively.
- Detail-oriented with expertise in data management and entry.
- Experience in aerospace manufacturing is a plus.
- Excellent interpersonal skills with the ability to foster strong relationships with management.
- Composed and professional in handling employee relations issues.
- Objective-minded with a focus on the company's best interests.
- Capable of representing the HR department professionally and objectively.
- Proficient in handling sensitive and confidential information.
- Flexible and adept at multitasking in a dynamic, small company environment.
- Strong written and verbal communication skills.
- Full-time position, Monday through Friday.
Computer Skills:
- Proficient in Excel, Word, PowerPoint, and Outlook.
- Familiarity with payroll systems, ideally ADP.
- Capable of conducting research for HR projects.
Working Conditions :
Long periods of sitting at a desk working on a computer. May involve data inputting for extensive time periods in a day. Primarily in an office environment, occasionally in shop environment as required. Occasional shop floor environment to assist employees on shop floor with HR issues/questions or to collect timecard data to close payroll.
Periodic weekend or evening work if business needs require.
