GENERAL PURPOSE:Serves as administrative manager in directing and coordinating all grants management processes for the Department of Microbiology & Immunology and Center for Vaccine Biology & Immunology, including pre- and post-award budgets and grant finances from government grants, foundations and/or other sponsors. Works closely with primary faculty members to prepare and submit proposals through various grant application platforms. Establishes grant accounts and monitors grant expenditures to ensure compliance with sponsor regulations. Prepares financial reports and statements, and coordinates all financial closeout activities. Stays up-to-date on federal and University policies and regulations related to research grant administration.RESPONSIBILITIES:Coordinates all components of the submission process for multi-center research programs and contracts, including subcontracts; this includes presentations, forecasting and the preparation of supplementary reports. Assists in applying for new, renewal or supplemental grants for funding through ASSIST, Grants.gov, FastLane, and agency portals. Coordinates and submits all proposals into IORA for departmental and ORPA review. Supervises and trains administrative staff in the preparation of proposals.Coordinates all post-award activities for current sponsored projects. Prepares correspondence for program directors to submit to funding agencies (e.g., change in scope and effort memos, no-cost extensions, changes in Other Support, etc.). Supervises regulatory reporting and insures compliance with government regulations and funding requirements. Assists faculty with annual progress reports.Oversee fiscal and programmatic management of two T32 training grants and one R25 training program, impacting up to 20 trainees annually. Review all training grant applications and award notices to ensure thorough understanding of budget and project dates. Prepare appointment, reappointment and termination forms and letters for internal and external purposes. Work closely with trainees and PIs on programmatic requirements, including monthly meetings, mock study sections, External Advisory Board meetings, etc. Notify PIs when appropriate regarding dates when trainees will be coming off and when slots will become available. Make recommendations for trainee appointments, use of funds and improvements to programs. Prepare accurate monthly account reports using UR Financials and URGEMS and meet with PIs to review with them. Ensure trainee costs are appropriate and charged to correct budget year. Prepare all close out documents. Maintain database of history of current and past trainee information and assist with competing renewals.In coordination with the accounting team, ensure fiscal control through the use of an encumbrance financial reporting system (UR-GEMS) and oversee all sponsored project budgets. Control expenditures and provide approval for the purchase of major equipment, services, space and, in certain instances, research materials. Ensures that there is monthly reporting to the department chair and principal investigators on the financial status of their research or scholarly activity.Initiateandparticipateinmeetings,conductorguidefeasibilitystudies,conferwithregulatoryagenciesand university administration. Conduct quarterly effort review meetings with each faculty member in accordance with University and NIH audit requirements. Reviews the following monthly reports, and works with accounting team to develop action plans as needed, including Out of Award Period grant spending, outstanding extramural invoices, subcontract burn rate and invoice status, delinquent closeouts. Coordinates with ORPA and ORACS to ensure timely and accurate invoicing to sponsors.Represents the Principal Investigator or Program Director to internal departments and external organizations involved in the research and other interested parties. Acts as a resource in working with other departments of the University and Medical Center. Serves as a member of various support services committees. Provides guidance and advice to the department chair and faculty on grants administration activities.Other projects and job duties as assigned.QUALIFICATIONS:Bachelor¿s Degree required2 years of relevant experience or an equivalent combination of education and experience requiredExperience in pre- and post-award grants management in an academic research setting preferredExcellent interpersonal, presentation, and communication skills, including written communication required.Knowledge of University and NIH policies and procedures required.Requires practical (hands-on) knowledge and prior experience in managing the preparation, submission and post-award reporting and handling of federal research grants, particularly NIH grants. Knowledge of and experience with IORA (Integrated Online Research Administration) and ASSIST (NIH grants submission system) required.Knowledge of Microsoft Office Suite, internet search techniques, and ability to learn new software quickly required.Outstanding organizational skills and attention to detail required.Ability to work well with others as part of a team as well as independently. Ability to set priorities for self and to manage a group of people with sometimes competing priorities.
