Position Title: Assistant Event ManagerDepartment: EventsReports To: Director of EventsClassification: ExemptCompensation: Annual Salary of $67,000Essential Duties & Responsibilities:Ensures successful coordination of event activities by supporting the Event Managers in monitoring the status of all event-related activitiesMeets with clients and external vendors, and communicates back to internal teamsAssists in the preparation of events by interpreting and explaining facility policies and procedures, cost estimates, and final invoicesProvides clear, concise, and timely communication of event details to internal departmentsVerifies that event spaces have been set according to client specificationsCollects event-related information, and produces documents and files for archival purposesPresents event related information to internal departments at production meetingsDevelops and maintains a harmonious working relationship with all clients, external vendors, third-party contractors, internal departments, and other stakeholdersProvides support to Event Managers and their assigned events as neededProvides administrative and onsite support to the Guest Services Manager as neededProvides support to other Toyota Arena teams as needed and when possibleWorks extended/irregular hours including nights, weekends, and holidays as neededPerforms other duties as assignedQualifications:Basic knowledge of event management, planning, and logisticsBasic knowledge of or ability to learn event principles, including life safety, fire code, first aid, and best practicesBasic knowledge of or ability to learn software including event management programs, and event diagramming softwareBasic knowledge of or ability to learn industry terminology, venue capabilities, and logistical requirements for the types of events anticipated at the venueAbility to handle multiple events, projects, tasks, and other deadlines simultaneouslyAbility to follow guidance while exercising good judgment, problem-solving, and initiativeMust organize and prioritize work to meet event deadlines, work effectively under pressure, produce accurate results, and remain flexible in a changing environmentPrior experience in Sports and Entertainment is a plusMust meet the physical demands of the jobMust possess a valid California Driver’s License (DMV)Education & Experience:High school graduate or GED certificate requiredAssociate’s or bachelor’s degree from an accredited college or university in event management, hospitality, sports management, or related field preferred but not required2+ years related experience and/or training or equivalent work experience preferred but not requiredCustomer service experience preferred but not requiredBilingual in Spanish preferred but not requiredComputer Skills:Operate a personal computer using Windows, Microsoft Office, and other standard office equipmentKnowledge of event management programs, event diagramming programs, and other venue-related softwareMust have strong computer skills and the ability to learn new softwareAutoCAD experience preferred but not requiredPhysical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
