The Executive Administrator, reporting directly to the Vice President for Enrollment Management, provides critical, high-level support to the Vice President and three Assistant Vice Presidents. Acting as the primary liaison for internal and external stakeholders regarding the VP's office, this position is indispensable to faculty and staff. It demands meticulous attention to detail, outstanding interpersonal and writing skills, and the ability to excel under pressure in a dynamic, fast-paced environment.


ESSENTIAL JOB DUTIES

  1. Provide primary administrative support to Enrollment Management.
  2. Provide day-to-day administrative support for the departmental staff.
  3. Coordinate the VP's calendar, organize meetings and appointments, book space as needed, and work closely with the other Executive Administrators across the college.
  4. Manage agendas, take notes, assign and disperse action items, and facilitate information sharing at departmental and interdepartmental meetings as assigned.
  5. Help manage and maintain the divisional budget. Prepare and submit requisitions for goods; process cross-departmental invoices. Interface with Finance, Procurement, and Accounts Payable offices to ensure prompt and accurate payments.
  6. Manage various special projects assigned by the VP, communicating goals, deadlines, deliverables, and status to relevant stakeholders and soliciting feedback from suitable parties.
  7. Complete expense reports and other tasks in Workday on behalf of the VP.
  8. Draft, edit, and prepare correspondence, talking points, Board of Trustee reports, and slide decks.
  9. Make travel plans and itineraries utilizing Concur.
  10. Liaise regularly with the VP to inform them of upcoming commitments, responsibilities, and divisional needs.
  11. Assist managers with onboarding new hires to ensure they have the necessary office, equipment, and access. Manage and maintain documents and files.
  12. Develop and coordinate the communication of internal and external policies and procedures, making recommendations for process improvement and efficiencies.
  13. Serve as an organizational resource on general office inquiries and needs.
  14. Provide guidance and training to other staff members as required. Submit and track progress on routine IT, Facilities, and Archival requests.
  15. Provide cover for and assistance to colleagues as required.
  16. Perform other miscellaneous duties as assigned.

QUALIFICATIONS

  1. Bachelor's Degree in Business, Finance, or a related field or equivalent experience is required.
  2. Minimum 5 years of administrative experience in a complex organization, including direct support to senior-level administrators.
  3. Experience using Concur and Workday for finance and HR is highly desired.

KNOWLEDGE, SKILLS, AND ABILITIES

  1. Writing/editing skills, project management skills, professionalism, and discretion required.
  2. Exceptional accuracy and attention to detail required.
  3. Google Workspace experience preferred.
  4. General knowledge of budgeting and accounting procedures.
  5. Proficiency in using computer software and learning new software quickly.
  6. Strong organizational skills and the ability to follow through on tasks and requests.
  7. Ability to maintain multiple projects simultaneously and to prioritize tasks.
  8. Self-starter with excellent interpersonal communication and problem-solving skills.
  9. Strong written communication and editing skills.
  10. Ability to maintain a high level of confidentiality.

PHYSICAL ABILITIES

  1. This position is generally sedentary; movement throughout the area is required occasionally.
  2. Continuous oral and written communication with students, co-workers, and supervisors is essential.
  3. Repetitive movements, occasional lifting of up to 10 pounds, reaching, lifting, stooping, and the ability to read a computer screen, detect color-coding, and read fine print will be expected.

Compensation: $62,600.00 - $76,700.00 annually, commensurate with experience.
