TITLE:
Manager, Committees and Sections
REPORTING RELATIONSHIP:
Director, Hospital & Surgical Subspecialties
BASIC FUNCTIONS:
Manage the planning, implementation, and evaluation of programs and projects for assigned American Academy of Pediatrics (AAP) hospital and surgical subspecialty committees, councils, and sections, including growing and maintain key working relationships with physician leaders; overseeing policy development and administration; development of professional resources, education, and member affinity programs, liaison appointments/relationships with partner organizations; and implementation of grants and subcontract agreements. Support other AAP initiatives and child health priorities that align with or draw from assigned constituent disciplines. Pursue opportunities to support initiatives to advance/augment subspecialty care and optimal delivery of child health services.
DUTIES AND RESPONSIBILITIES:
1. Provide primary staffing for assigned committees, councils, and sections, including agenda development, meeting planning, preparation and dissemination of minutes, and administrative follow up. Utilize virtual technology to support activities as appropriate.
2. Facilitate, implement and manage program initiatives and value-add projects prioritized by committee, council, and section leadership. Guide strategic planning and goal development for each group as well as design projects to meet outlined objectives.
3. Prepare and manage budgets and associated financial documents.
4. Facilitate the development and management of AAP policy as it pertains to assigned groups. For these disciplines, serve as the internal AAP contact in matters associated with policy interpretation and/or related program/project management. Respond to inquiries from AAP members, nonphysician clinicians, government officials, and other professionals as necessary. Prepare and arrange for dissemination policy-related information to the public/parents/media.
5. Coordinate activities of assigned groups with stakeholders, including other AAP entities, medical societies, and external partner organizations. Where appropriate, develop and implement Memoranda of Understanding delineating program goals and roles.
6. Oversee and manage editing, proofing, reference verification, and peer review of policy manuscripts, manuals, educational products, promotional materials, and other documents. Review content of in-progress publications for consistency with existing AAP policy. Secure/negotiate copyright releases and/or reprint permissions for tables and other materials as needed.
7. Collectively work with AAP state and federal advocacy staff on legislative and/or regulatory matters pertinent to AAP policy, including reviewing Federal Register notices related to proposed rulemaking and/or exploring the significance of AAP representation at federally sponsored hearings and meetings.
8. Manage all essential business processes including elections and bylaws. Develop internal memoranda and program proposals in accordance with established protocol and formats (SBAR).
9. Manage and prepare content for internal and external resources including newsletters; web/collaboration sites; dept management reports; and annual committee, council, and section reports.
10. Implement the program requirements associated with continuing medical education (CME) courses and other educational symposia/receptions sponsored by assigned groups.
11. Oversee preparation and management of applicable grants and contracts designed to advance shared goals of the AAP and funder.
12. Prepare and administer consulting agreements designed to facilitate completion of specific programs and projects.
13. Review and respond to requests for background information associated with AAP Leadership Conference Resolutions. Refer pertinent resolutions to assigned committees, councils, and sections and prepare formal responses in accordance with defined protocols.
14. Represent groups and/or the Hospital & Surgical Subspecialties activities in a staff liaison capacity.
15. Support and collaborate with AAP staff on related matters that support mission and margin goals of the AAP and the team.
16. Perform all other duties as assigned.
EDUCATION:
Bachelor's degree in public health, health care administration, allied health sciences, or related discipline required, or an equivalent combination of relevant education and work experience. Master's degree in related discipline preferred.
EXPERIENCE:
At least three years' related experience in public health program planning and administration required, including some experience with child health. Experience with technical writing/editing, needs assessment, budgeting, grants management/writing, and working in a medical association preferred.
ESSENTIAL SKILLS:
Excellent written/verbal communication, organizational, critical thinking, diplomacy, and interpersonal skills required. Strong technical acumen essential with proficiency in MS Office and the ability to learn and apply new technologies; experience with virtual meeting platforms (eg, WebEx) and document collaboration platforms (eg SharePoint) preferred. Must be able to review and synthesize published articles, data, and other materials to inform policy and project management; manage multiple priorities simultaneously; take initiative; work both independently and as part of a team; collaborate effectively with various internal and external constituents; and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion. Knowledge of health care industry and medical education issues highly desirable. Some travel and evening/weekend work required, along with the need for flexibility in arranging work schedules to accommodate physicians' availability.
