Northern California Institute for Research and Education (NCIRE) is the leading nonprofit research institute in the United States devoted to advancing Veterans health research. Position Definition:
We are seeking a full-time Program Manager for a study led by a Principal Investigator (PI) at UCSF Department of Medicine, Division of Geriatrics. The PI’s research sits at the intersection of music, well-being, dementia, caregiving and relationships. The Program Manager will oversee day-to-day operations of the research lab to implement and manage a new NIH-funded grant that studies the impact of music on well-being after a new diagnosis with dementia. Management of the program includes a new database build in REDCAP and overseeing data management for this mixed-methods study.
The Program Manager will also supervise other research staff on the team. Supervisory duties will include recruiting and onboarding, training, timesheet management, addressing employee grievances, as well as working with the UCSF Division Manager and NCIRE HR to address any employee work-related needs.
The Program Manager will also help the PI with strategic and budgetary planning and assist the PI with other projects as needed. Specific tasks may include:
- Development of a community advisory board and facilitating interactions with board members and the research team.
- Assisting with and tracking multiple ongoing research and educational projects.
- Managing internal communications with research participants and key stakeholders.
- Ensuring appropriate disbursement of participant payments.
- Helping to oversee research regulatory (IRB) reviews.
- Planning and overseeing the creation and management of content for the lab website and social media presence.
This role requires a high level of independence, and the candidate is expected to be a subject matter expert in the field of research and/or research administration. A successful candidate will be able to simultaneously juggle multiple projects with competing deadlines, has an extremely high level of organizational skills, is able to identify issues and unmet needs, and correct them. Those with relevant experience in this area of research will be preferred, however, we welcome candidates with varied experience to apply!
Job Responsibilities:
- Manage the day-to-day operations of the research lab.
- Work closely with PI to implement and coordinate the activities involved in a multi-sited mixed methods study.
- Assist with strategic planning for the implementation of the research project, including development of standard operating procedures and building of a robust mixed methods REDCAP database.
- Supervise and work closely with research staff who will assist the Program Manager with various data collection and analysis activities and tasks.
- Assist with budget planning, defer to finance control/grant manager where needed.
- Oversee annual reporting to funders and other key stakeholders, and interface with grants management specialists at NCIRE, UCSF, and the National Institutes of Health.
- Develop and help supervise creation of website and social media content and coordinate closely with the web developer on updating of site content and adding new site features.
- Routinely and comprehensively stay abreast of developments in the field of music and dementia research, including scientific advances, funding opportunities, new research, implementation, and practice change efforts; prioritize, summarize, and communicate key information to the research team, participants and the community advisory board, and the lay public; and use this information and knowledge to contribute meaningfully to strategic planning and new ideas for research.
- Help create agendas for meetings, record meeting minutes, and work with the PI on translating meeting discussions into action items.
- Overseeing regulatory (IRB and related) review of research-related activities.
- Maintain documentation of study activities.
- Perform other research tasks or program-related duties as assigned.
Job Requirements:
- Minimum of 2-3 years health-related research and/or scientific project management experience, or a combination of both education and experience in the above.
- Master’s degree preferred but not required.
- Experience in implementing and coordinating research studies and/or projects.
- Computer literacy with emphasis on database management and data analytical tools such as statistical software and qualitative data analysis software.
- Excellent interpersonal, written/oral communication and organizational skills.
- Positive and pro-active attitude.
- Ability to manage multiple projects, tasks and priorities to achieve desired goals.
- Strong accuracy and attention to detail.
- Ability to work independently.
Working Conditions/Environment:
The work environment is a clinical research office and the incumbent is expected to come in to the office twice a week. It may include minor annoyances such as noise, temperature variations, etc. Furthermore, in compliance with local/state/federal health orders, appropriate work may be conducted remotely. The incumbent may be required to sustain standing and seated postures and to use a computer keyboard and display monitor for prolonged periods.
The base salary range for this position is $66,560.00 - $105,456.00 per year. The base salary actually offered to a successful candidate will take into account various relevant and non-discriminatory business factors including, without limitation, the candidate’s geographic location, job-related experience, knowledge, and skills, and education, as well as internal equity considerations. A successful candidate may also be eligible to earn additional compensation including bonuses.
