OverviewThe Administrative Specialist III provides both administrative and clerical support to the department, either as part of a team or individually to ensure the administration and smooth running of departmental business. This position will provide administrative support for Novant Health's community engagement work across the Carolinas. This includes documenting and supporting team members in the management of charitable contributions, in-kind services and donations, event sponsorships, partnership programs, and team member volunteerism and giving. Novant Health's community engagement efforts support access to care; trusted and effective partnerships; measurable outcomes; and brand awareness.The Administrative Specialist III will support the Community Engagement team by fulfilling the following job tasks:Maintain calendar for Vice President of Corporate Affairs and Community Engagement Team calendar.Arrange meetings and/or events including conferences, conference calls and video conferences. Arrange all aspects of the event including venue reservations, participant communication, catering, entertainment, and audio visual needs. When necessary, plans and coordinates travel arrangements.Submit requests for disbursement to Accounts Payable, file Expense Reports, collect invoices for department services.Order supplies and maintain inventory for department. Complete requisition and send to Purchasing Department or vendor and receive and distribute supplies.Oversee departmental timekeeping duties including researching discrepancies and correcting as appropriate. Complete timekeeping duties accurately and by prescribed deadlines.
