Job Description
The School of Engineering for Matter, Transport, and Energy (SEMTE) in the Ira A. Fulton Schools of Engineering is seeking a highly self-motivated and dynamic individual for the position of Academic Financial Specialist, Sr. Under the general direction of the Business Operations Manager, this individual will manage and implement SEMTE's daily business and financial operational transactions, such as processing financial transactions, preparing and processing budgets, managing school accounts, and managing reconciliations while ensuring adherence with established ASU policies and internal practice as designated by SEMTE.
Under general supervision, the incumbent will perform various daily administrative and financial functions in a complex academic unit with significant research and instructional emphasis. The successful applicant will maintain effective working relationships with faculty, staff, students, and vendors as well as handle confidential and sensitive information, use software applications as they apply to the position, be skilled in policy and procedures, manage multiple projects simultaneously, work with short deadlines; communicating, participating and encouraging support of an institution's sustainability programs; and working collaboratively and effectively with faculty and staff in an environment subject to rapidly changing priorities. Working Environment
  • Activities are primarily performed in a regular, climate-controlled office setting subject to an extended period of sitting.
  • Visual acuity and manual dexterity are associated with daily use of desktop computer.
  • Bending, stooping, reaching, and lifting up to 20 pounds.
  • Ability to clearly communicate to perform essential duties.
  • Ability to work both independently or within a complex structured team.
  • Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks.

Minimum Qualifications
Bachelor's degree in Business Administration, Accounting, or closely related field AND five (5) years of related administrative experience, OR, Nine (9) years of directly related administrative experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in account management.
  • Experience and knowledge of P-Card usage, policies, and procedures.
  • Experience using Adaptive Planning (budgeting) or a financial management system.

Essential Duties
Budget:
  • Responsible for preparing budgets and forecasts and entering information in budgeting software (i.e., Adaptive Planning).
  • Prepares yearly operational and special budgets and forecasts for year-end and other entities for decision-making.
  • Resolve budgetary questions and make recommendations to remain within budget.
Account Management:
  • Manage multiple accounts of diverse funding sources for the school.
  • Provide service, support, and improvement opportunities to maximize purchasing capabilities.
  • Participate in internal and external audits by responding to requests for presentation of supporting files/documents.
Payroll and Purchasing:
  • Manage P-Card monthly reconciliations, including verification in Workday, maintaining financial records, and establishing internal controls.
  • Process employee taxable reimbursements in Workday and Peoplesoft.
  • Process financial documents such as travel requests and expense reports, business-related reimbursements, purchases, and payments using the University financial systems (Concur, Workday, SunRISE) and the Purchasing card.
  • Responsible for purchasing tangible goods and ensuring their arrival and delivery through the established practice of SEMTE.
  • Perform payroll reconciliations and maintain files containing supporting documentation.
  • Process payroll redistributions as needed to resolve payroll issues.
Compliance:
  • Perform routine and complicated financial transactions and implement internal controls in compliance with applicable policies and procedures.
  • Interact and maintain liaison with students, faculty, staff inside and outside of SEMTE, to include community agencies/vendors in facilitating SEMTE and University objectives.
  • Implement new, changed, and/or updated ASU Policies and internal SEMTE Practices affecting the Business and Operational activities to ensure ongoing compliance.
Reporting:
  • Organize and/or prepare unit administrative and financial reports; analyze, summarize, and interpret information so that leadership can make informed financial decisions.
  • By monitoring accounts, prepare periodic reports to faculty to increase their awareness and options for leveraging their accounts.
Leadership
  • Assist the Business Operation Manager with fiscal management and staff supervision.
  • Manage and control the school's daily business operations
Other Tasks:
  • May supervise staff or student workers.
  • Involvement in learning/training exercises within the organization to build a foundation for all to be successful.
