Under the general supervision of the Bulfinch Temporary Service Manager and in partnership with staffing specialists, the Talent Acquisition Coordinator is responsible for providing administrative support in the areas of recruitment, onboarding, and database management. The Talent Acquisition Coordinator coordinates the new hire remote onboarding process including processing the new hire in Peoplesoft, obtaining required forms, ensuring occupational health and I-9 appointments are scheduled and reviews work authorization documentation. Ensures completion of all onboarding requirements including background, compliance and reference checks. Confirms systems access set up and enrolls in any additional training based on position. Provides new hire with materials for the Bulfinch and Internal Resource Pool orientation and information on temporary employment status, troubleshoots phone calls and general inquiries. Operates as the point-person for staffing specialists with regard to the completion of the onboarding process. Provides general assistance with Peoplesoft data changes, market adjustments, UKG scheduling. Handles employment verifications, unemployment claims and assists other HR staff as needed during peak hiring periods.
Responsibilities
- Oversees the New Hire Onboarding Process
- Contacts new hire to inform them of details regarding onboarding including Occupational Health and I-9 appointments and obtains all onboarding documents.
- Answers questions from pending hires related to the onboarding process and any related trainings.
- Reviews I-9 work authorization documentation during virtual appointment in compliance with I-9 guidelines.
- Processes new hire via PeopleSoft.
- Assigns and monitors compliance with the necessary documents new hires must complete such as: I-9, CORI and HealthStream Learning.
- Ensures new hire is compliant with all hire related requirements, including CORI, HireRight, I-9, OHS Immunizations, references and Healthstream new hire compliance.
- Updates new hire checklist and confirmation new hire file complete for uploading to OnBase electronic file.
- Handles UKG assignment scheduling.
- Handles PeopleSoft data changes including job code updates, salary changes and leave status updates.
- Assists with monthly market adjustment review.
- Assists with processing unemployment claims.
Other Duties
- Assists other HR support staff when needed or during peak periods/during their absence.
Qualifications
* Bachelor's Degree or relevant work experience.
* 1-3 years' applicable experience in business or academia required.
* Proficiency in Microsoft Word, Excel, PowerPoint & Outlook.
