Fulfillment Associate / OS&D
The Fulfillment Associate provides administrative support to the Account Services and Front/Back Operations Teams. They are instructed in general knowledge of the Point of Purchase Display Industry to better assist the entire Account Services and Operations Teams. This role also provides back-up to the Front Desk Associate, as needed.

Compensation: $23.00 per hour depending on experience

Responsibilities:
  • Monitor and Maintain Web-Based Hotlines: Ensure hotline requests are logged, tracked, and addressed promptly.
  • Interpret Drawings and Layouts: Read basic drawings and layouts to determine required parts.
  • Direct Communication: Call stores and speak with Team Members, Operations Members, or Store Managers to clarify hotline requests and ensure accurate parts are shipped.
  • Coordinate with Production and Fulfillment Teams: Work with teams to pull correct parts for shipment.
  • Shipping Information and Memos: Supply shipping information and write up shipping memos.
  • Log and Track Requests: Maintain a log of all hotline requests and tracking information.
  • Post Tracking Information: Post tracking details to the hotline and email store procurement requesters.
  • Invoice Preparation: Prepare invoices for fulfillment parts and shipments.
  • Update Hotline with Invoices: Post invoices to the hotline.
  • Update Completion Dates: Update estimated completion dates if replacement products need to be produced.
  • Inventory Management: Differentiate inventory allocated for new stores versus replacements.
  • Maintain Instruction Sheets: Keep all instruction sheets and be familiar with different part numbers for each job.
  • Handle Inbound Calls: Take inbound calls from stores and clients for fulfillment requests on other production jobs.
  • Front Office Support: Back up the Front Office Associate when needed.
Qualifications:
  • Reliability and Accountability: Consistent attendance and punctuality required.

  • Independent Worker: Ability to follow directions with minimal supervision.
  • Sense of Urgency: Must be a self-starter with a sense of urgency.
  • Multi-Tasking and Organizational Skills: Ability to multi-task and maintain strong organizational skills.
  • Proficiency in Microsoft Applications: Proficient in Outlook, MS Word, and Excel; able to create and maintain documents and spreadsheets.
  • Strong Communication Skills: Excellent verbal and written communication skills; able to communicate with all levels within the organization.
  • Problem-Solving Skills: Strong reasoning, negotiation, and problem-solving skills, including the ability to be proactive and anticipate potential problems.
Preferred Experience:
  • OS&D (Over, Short, and Damaged) Experience: Previous experience handling OS&D issues in a logistics or supply chain environment.
  • SC&L (Supply Chain and Logistics) Experience: Background in supply chain and logistics operations.
