ENROLLMENT FIELD SPECIALIST I

Enrollment Field Specialists are responsible for ensuring the accuracy of employer and employee paperwork and recording the necessary information in Palco's software. The Enrollment Field Specialist is responsible for ensuring that all required employer and employee paperwork has been completed, processed, and recorded in Palco's software and that the program-required background checks have taken place. Enrollment Field Specialists perform their job functions in a hybrid capacity, working remotely from home and providing in-person home-delivered services.
Essential Functions:
  • Conduct in-home visits as required by program guidelines.
  • Assist in completing, sending, tracking, and processing necessary employer and employee paperwork.
  • Proactively identify and address potential obstacles that could delay enrollment.
  • Ensure compliance with program-required background checks for employees.
  • Record employer and employee address/information changes in Palco's software.
  • Understand required forms and how to complete them effectively.
  • Update enrollment statuses for participants and providers in databases.
  • Maintain accurate records of services provided and time commitments according to established policies.
  • Deliver hands-on training and train-the-trainer sessions on program protocols, financial systems, and reporting requirements.
  • Educate individuals and employers on how to work with Palco systems as their fiscal intermediary. Focus on education of authorized services, timesheet completion, enrolling new providers as well as identifying and reporting fraud, abuse, neglect or exploitation and provide all other necessary support to ensure successful self-direction.
  • Explain participant and provider responsibilities within self-directed services, including payroll processing and tax obligations.
  • Maintain 85% or higher compliance rate on audits and case reviews and CRM Cases.
  • Collaborate with case management or service entities to ensure timely approval and authorization of services. Coordinate employer enrollment paperwork with counselors and other agencies.
  • Prompt outreach of referrals for participant-directed services.
  • Work closely with internal and external stakeholders to expedite enrollment processes and ensure providers receive timely payments.
  • Document and report instances where individuals face challenges with self-direction as well as weekly follow-up on their enrollment status.
  • Communicate any corrections to referrals with case management or service providers.
  • TRAVEL REQUIRED
Skills and Qualifications:
  • Strong understanding of tax and program enrollment requirements.
  • Good verbal and written communication skills required.
  • Must possess solid skills with email, Internet, and Microsoft Office, including the use of word processing, spreadsheets, and file maintenance programs.
  • Must possess strong organizational and problem-solving skills, including the ability to analyze information, pay attention to detail, take initiative to follow up on transactions, and make decisions about information.
  • Excellent interpersonal and communication skills.
  • Must be willing to work Monday through Friday, 8:00 am-5:00 pm or additional time, if necessary, to complete duties and responsibilities.
  • Must be a self-starter and extremely independent.
  • Must have the ability to prioritize tasks and meet deadlines with minimal oversight.
  • A valid driver's license and access to a motor vehicle required for travel.
  • Must have a strong ability to analyze processes, enhance them, and provide suggestions.
Education and Experience:
  • A minimum of a high school diploma and three (2) years of relevant experience in an office setting preferred.
  • Experience with the processing of enrollment documents preferred.
  • Experience in roles that involve direct interaction with members or program participants preferred.
  • Bachelor's Degree preferred; experience can be considered in place of a degree.
