The Sr. Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.Department Specific FunctionsIn clinic/Telemedicine – 40% effort:Obtain vital signs and weight, rooming patientsMaintain patient flow during clinics that will include collection and mailing of samplesCompleting requisition, entering orders, referrals in U-Chart. Uploading scanned documents and images in U-Chart as needed. In charge of preparing items to be given to scanning teamAssisting physician in setting up for various in-office minor procedures.In charge of making sure clinic exam rooms are clean, orderly, well stocked and that all equipment is in working condition and locked cabinets when appropriate. Will resolve of let supervisor know of issueMaintains examination work-up forms and all other pertinent medical forms in exam rooms and in stock readily available to physicians for patient care.In office – 60% effort:Answers telephone in a professional and diligent manner, relaying messages via the appropriate method in a timely fashion and follow up when required. Will escalate to supervisor as needed. And is available for escalation from the department’s clinic assistantAnswers e-mails, U-Chart messages in a timely mannerRegister patients, schedules appointments, triage to make sure that all appointments are scheduled correctlyVerifies insurance coverage on patients for their visit & works with both Billing and CIV to coordinate cancellations for billing purposesPrepares medical records for clinics, gather test results and others as requested by providers & counselors. Also makes sure that the Clinic Assistant has the correct clinic prepRoutes Medical record requests to the correct on campus timeAssists with registering patients in UChart for the Department’s Biochemical and Molecular Genetics Diagnostic Laboratory. (BMGDL)Assists with uploading BMGDL test results to patient’s UChart record.Assist pediatric genetic counselors with contacting patients regarding upcoming appointments, sample collection, and order placement.Assist pediatric genetic counselors with placing lab orders from clinic, uploading genetic test results, and communicating with laboratories about sample failures and medical record requests.Department Specific RequirementActive State of Florida CNA license preferred.CORE JOB FUNCTIONSExplains HIPPA to patients and obtains signatures.Submits signed consents to healthcare centers to initiate retrieval of medical records, pathology slides, x-rays, and other pertinent reports.Tracks pending records to ensure delivery prior to clinic visits.Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.Travels within the facility and campus to retrieve records, films, or CDs. Prepares pathology slides and submits for consultation.Returns slides to appropriate institution or patient.Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.Assembles, completes, and processes patients’ charts.Assists with ordering, receiving, distributing, sorting, and storing supplies.Reports suspicious or unusual incidents to appropriate supervisory personnel.
