We are seeking a highly-motivated Sr. HR Analyst, Time and Attendance with a growth mindset who enjoys a dynamic, hands on work environment. The primary focus of the position is supporting the maintenance of the Time and Attendance system as well as enhancements and project management for implementations. This position serves as a technical point of contact for assigned functional areas and assists subject matter experts with ensuring data integrity, testing of system changes, report writing, and analyzing data flows for process improvement opportunities. You will be responsible for reviewing and approving detailed timesheets, assuring compliance with relevant labor provisions, presenting and reporting findings and analysis, diagnosing issues, conducting trainings and lessons learned, and researching/resolving payroll errors.


Key components of this role are supporting WowTown, the Field, and Distribution Centers with periodic quality assurance of time and attendance, understanding and driving non-desired outcomes (defects and variability) out of the business, and collaborating across teams to drive improvement into the business though fundamental changes in our time and attendance practices. The work is very detailed and performed in a high volume, tight deadline environment.


The Time and Attendance Specialist is expected to complete work independently with limited assistance and supervision, and to manage workflow to meet payroll deadlines. The incumbent may also serve as a backup for other office support duties as assigned.


Job Responsibilities:


System Operations and Data Management:

  1. Deliver the ongoing system configuration, design and maintenance of the Time and Attendance system, ensuring accuracy of all elements of data. Serves as a strong consultative partner to functional leaders providing process and technology solutions to complex business needs.
  2. Implement identified system process improvements.
  3. Assist in the review, testing and implementation of Time and Attendance upgrades or patches. Collaborate with functional and technical staff to coordinate application upgrades or fixes.
  4. Research and resolve HR system problems, unexpected results or process flaws, performing scheduled activities, and recommending solutions or alternate methods to meet requirements.
  5. Record all exceptions to employees’ attendance and leaves as required.
  6. Configure new and relocated stores.
  7. Responsible for ordering time clocks and partnering with onsite IT support who is responsible for time clock installation.
  8. Assist with time clock monitoring activities and special projects.
  9. Work effectively with internal IT resources.

Service Delivery/End User Support:

  1. Ensures HR administrative processes are handled effectively through the HR technology platform.
  2. Responsible for executing the day-to-day HR systems and end-user support, and customer service inquiries.
  3. Troubleshoot end user problems and develop solutions.
  4. Manage end-user questions and create enhanced training materials to support the user community.

Time and Attendance Reporting:

  1. Provide superior business intelligence through the building and distribution of simple to complex ad hoc reports and execute the creation and preparation of regular reports on topics such as turnover, performance reviews, wage reviews.
  2. Assist in maintaining data integrity in systems by running queries and analyzing data.
  3. Ensure all postings for overtime, credit hours or compensatory time earned are approved.
  4. Provides daily/weekly/monthly reports to management and supervision.
  5. Troubleshoots issues regarding reporting of time and system configuration.
  6. Analyze pre- and post-payroll time and attendance audit reports to identify and correct payroll errors.

Compliance:

  1. Execute system processes and internal controls for regulatory compliance testing.
  2. Execute compliance reporting processes and participate in audits as necessary.
  3. Reviews timesheets for errors.
  4. Analyzes and resolves data discrepancies between the HRIS and time and attendance database systems.
  5. Partners with operations for mobile scheduling compliance requirements.
  6. Verify employee time input has been captured and is in line with policies, procedures and processing rules. All identified exceptions must be reviewed and corrected before payroll processing.
  7. Partner with Finance and Operations on any G/L changes that impact labor scheduling or changes that impact downstream systems.

Other:

  1. Build vendor relationships with consultants, third party administrators, brokers and other applicable vendors.
  2. Perform other duties as required.

Qualifications:

  1. Associate's degree or equivalent work experience.
  2. Minimum of 5-7 years’ experience in time and attendance.
  3. Basic knowledge of office applications (MS Excel; MS Word; MS PowerPoint; MS Outlook).
  4. Ability and willingness to work flexible work hours to ensure payroll deadlines are met.
  5. Ability to adapt to frequent changes that can occur with vendor relationships, system updates, policies, etc.
  6. Ability to multi-task and complete objectives within strict time constraints.
  7. Proactive in resolving issues with employees, businesses and other departments.
  8. Experience working in a team-oriented environment.
  9. Integrity and trustworthiness specific to confidentiality and privacy of employee information.
  10. Experience with Kronos and ADP Vantage preferred.
  11. Ability to communicate clearly and effectively with remote staff on problems that may be encountered.
  12. Analytical prowess to leverage data and available resources to resolve key issues that arise.
  13. Proven ability to learn or conduct basic root cause analysis.
  14. Validated problem-solving ability used in similar settings with impactful results to the business.
  15. Experience using data to drive decision-making and create data sets to identify trends for improvement projects.
  16. High level of aptitude and interest with new technology.
