About the Company: Our client, a prestigious global finance firm headquartered in Boston, is seeking a polished and experienced Executive Assistant to support senior leaders. This is an exciting opportunity for an individual with a background in professional services and a proven track record of supporting a team in a fast-paced, dynamic environment.
Key Responsibilities:
- Provide high-level administrative support to the team, including calendar management, travel arrangements, meeting coordination, and expense reports.
- Act as a liaison between individuals and internal/external stakeholders, ensuring smooth communication and timely follow-ups.
- Manage complex scheduling, prioritizing competing demands to ensure the team’s time is effectively utilized.
- Plan, organize, and coordinate executive-level meetings, events, and conferences, including logistical arrangements and preparation of materials.
- Handle confidential and sensitive information with discretion and professionalism.
- Prepare and edit documents, reports, presentations, and correspondence.
- Assist with ad-hoc projects, including research and preparation of data for executive decision-making.
- Collaborate with other administrative staff to ensure smooth operations and coverage across the firm.
Qualifications:
- 5+ years of experience as an Executive Assistant, preferably in a large, global finance or professional services firm.
- Proven ability to manage multiple priorities and work under pressure in a fast-paced environment.
- Strong organizational and time management skills, with a keen attention to detail.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with collaboration tools such as Zoom, Teams, or other virtual platforms.
- Ability to maintain confidentiality and exercise good judgment in handling sensitive information.
- Positive attitude, team-oriented, and proactive with a strong work ethic.
