Summary : The Bookkeeper/Administrative Clerk is responsible for providing support to the Finance Team for ensuring that financial data is recorded accurately and timely in accordance with generally accepted accounting principles. This position requires you to be a team player, work independently and multitask. The Bookkeeper /Administrative Clerk is also responsible for organizing files and correspondence to ensure that the Finance Department is running effectively and efficiently.
Primary Duties and Responsibilities:
• Data entry and journal entry posting for A/P, A/R, Fixed Assets into QuickBooks.
• Account reconciliations (AP, AR, Bank, Fixed Assets, and Petty Cash).
• Manage the Petty Cash account.
• Assist with the bookstore/donation box counts and bank deposits.
• Assist in recording the bookstore transactions and preparation of the monthly Sales& Use Tax Report.
• Prepare invoices with proper account classification, verify purchase orders where applicable and dispense to vendors.
• Assist with the preparation of assigned Audit schedules.
• Prepare Contributions Report and follow-up with Donors on a timely basis.
• Maintain all office equipment, copier, and postage meter.
• Organize office files.
• Execute other bookkeeping and administrative duties as assigned.
Requirements
Qualifications:
• Must have a minimum of a Bachelor's Degree in Accounting, Finance or Business Degree from an accredited college or university.
• Must have 2-4 years of bookkeeping/ Accounting experience in a nonprofit, local governmental or small company setting.
• Deep understanding of generally accepted accounting principles
• Working knowledge of QuickBooks Accounting Systems, Microsoft Office 365, 10-key and Excel.
• Must be detail oriented and well organized.
• The ability to multitask and complete tasks on a timely basis.
• Possesses the ability to work effectively with others in a positive, cooperative manner.
• Requires confidentiality, integrity, understanding and adherence to high ethical standards.
• Strong communication skills both written and verbal, ability to manage multiple priorities, effective time management, problem solving, and analytical are required.
Working Conditions/Physical Factors:
Works in office setting. Sits, stands, bends, lifts, and moves intermittently during working hours. Interacts with staff, visitors, vendors under all conditions/circumstances. Requires a flexible work schedule that may include evenings and/ or weekends.
Salary Description
$19.50 - $22.00
