Position Summary 

Provide administrative support to the IS Director/CIO, and the Information Services Department.  Assist in the distribution of help desk tickets to appropriate staff. Coordinate completion of System access requests. Update/modify certain system databases as directed. Receive in equipment deliveries.   The following statements are not intended to be construed, as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.

Duties of the Office Manager of Management Information Services department may include the following but are not limited to:

  • Modify and complete department payroll as necessary.
  • Coordinate the distribution of Help desk tickets
  • Provide administrative support to the IS Director/CIO.  Responsible for answering and screening phone calls and scheduling appointments.
  • Modify/update system database as directed.
  • Coordinate and track system access requests
  • Track and receive in equipment orders
  • Provide limited first level help desk support including password resets.
  • Schedules and coordinates meetings and training/conference reservations as assigned.
  • Order and maintain departmental office supplies.
  • Sorts and delivers departmental mail.
  • Performs other related duties as assigned or requested.
  • Mostly sedentary position, heavy phones, extensive time on computer.

Qualifications:

  • High School diploma or equivalent
  • 2 years of experience working in an IT department in a technical or supervisory capacity, or similar experience
  • 2 years of experience working with databases
  • Proficient working knowledge of MS Office products
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills
  • Attention to detail and accuracy
  • Excellent auditory and visual acuity

  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s). 

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.
