Position Summary

Provide personnel and analytical services to the Assistant Vice Chancellor and Director of the Academic Affairs and Personnel Office. The incumbent reviews and analyzes academic personnel dossiers and supporting material for completeness and compliance with academic personnel policies. This position will be responsible for coordinating all communications for the Office of Academic Affairs and Personnel, receiving confidential materials, answering telephone calls, and meeting and directing visitors, as the initial point of contact for the office. This position coordinates office logistic services as needed.


Salary & Compensation

Qualifications

  1. Working knowledge of the organizational structure of academic schools and departments on the UCLA campus. (Preferred)
  2. Working knowledge of Academic Personnel Policies and procedures as outlined in the APM and CALL. (Preferred)
  3. Demonstrated professional and proactive interpersonal skills to coordinate communications for a large academic service unit. (Required)
  4. Demonstrated knowledge of UC Path. (Preferred)
  5. Skill in handling extremely confidential materials with the utmost discretion and knowledge of confidentiality policies and practices. (Required)
  6. Excellent oral and written communication skills in the English language; demonstrated ability to communicate clearly, precisely, and effectively. (Required)
  7. Ability to work both independently and collaboratively as part of a team in an extremely detail-oriented environment. Willingness to assume partial workload of other team members during absences. (Required)
  8. Excellent organization skills to efficiently organize materials and set priorities with frequent interruptions, conflicting deadlines, and continuously changing workload. (Required)
  9. Demonstrated skill in the use of spreadsheets (Excel) software. (Preferred)
  10. Demonstrated skill of Opus/Interfolio. (Preferred)
  11. Ability to provide general hospitality, including catering and general meeting room set-up. (Required)
