Position Summary
The Front Desk Receptionist supports WellSpace Health Recuperative Care Program, a short-term residential facility for unhoused patients recovering from illness. The Receptionists greets and welcomes patients and visitors warmly. The Front Desk Receptionist supports the program by collecting important data, filing documents, cleaning, ensuring patients sign in and out of facility, gather needed information from updated census, and provide first line customer service to patients and community partners.
Required Qualifications
  • High School diploma required.
  • One (1) year experience as an administrative assistant OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Excellent interpersonal skills and ability to communicate clearly and concisely.
  • Strong customer service experience including active listening, problem solving, and the ability to remain calm in emotional or stressful situations.
  • Efficient time management skills, with the ability to meet deadlines and organizational needs.
  • Strong administrative skills with attention to detail.
  • Ability to use standard office equipment including phone, fax, copier.
  • Computer (PC) literate in Microsoft Word, Excel, Power point, Outlook email and database software.
  • Must be able to work collaboratively with others in a team environment, respecting and valuing the perspectives and experiences of others.
  • Able to maintain and understand appropriate roles, and boundaries among clients, peers, and WellSpace partners/stakeholders.
  • Able to function effectively in a fast-paced environment.
  • Ability to maintain detailed, statistical records.
  • Demonstrated commitment to the provision of services for the underserved and sensitivity working with a variety of people from low-income populations, with diverse educational, lifestyle, ethnic, and cultural origins; disabled, homeless, substance users, HIV (AIDS) infected, and/or physiologically impaired.
  • Commitment to HIPAA and ability to abide by standards of professional ethics and maintain confidentiality.
  • Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
  • Assist and support the Center/Department/Program to meet standards of High Reliability.
Essential Responsibilities
  • Greet patients and visitors, answer questions and provide assistance and directions as necessary.
  • Complete bag checks and confiscate contraband and other items not allowed in facility.
  • Provide support with intake activities and updating EHR records which will include and not limited to processing and updating patient files, chart preparation, and maintaining data collection files.
  • Utilize EHR system to identify patients for entry.
  • Ensure a safe environment through a commitment to the provision of services for the underserved and sensitivity working with a variety of people from low-income populations, with diverse educational, lifestyle, ethnic, and cultural origins; disabled, homeless, substance users, HIV (AIDS) infected, and/or physiologically impaired.
  • Maintain office, lobby, and facility appearance on a daily basis, ensuring a clean, safe, and welcoming environment and workspace.
  • Provide general administrative support to management and all program staff including typing, filing, mail and fax service, opening and closing of site, ordering supplies and maintaining office equipment, and other general clerical needs.
  • Attend regular meetings with management and team.
  • Assist with daily operations such as managing deliveries, mail, scheduling conference room reservation, laundry, food distribution, cleaning etc. as needed.
  • Other duties as assigned.

Physical Demands and Work Environment
The work environment is characteristic of a medical clinic environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands and arms to reach. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client's use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
