Operations Associate

The International Academy for the Brain (iBRAIN-Academy) is one of the largest brain-injury special education programs in the world. iBRAIN-Academy’s mission is to research, develop, and implement special education and related services for school-aged (3 to 21 years of age) students, as well as the development of a fully-inclusive education model, predicated on our Common Planning and Clinical-Educational Grand Rounds Model.

iBRAIN-Academy is headquartered in New York City with current locations in Manhattan, Brooklyn and Washington, D.C. iBRAIN is expanding to add an out-patient clinic (iBRAIN-Center), as well as growing its research efforts for the brain injury and brain-based disorders community (iBRAIN-Institute).

Position Summary :

We are seeking a motivated Operations Support Specialist to join our team and play a crucial role in supporting our staff, visitors, and the overall operational excellence of our program. This role demands a unique blend of operational prowess, technical savviness, and exceptional interpersonal skills. As the Operations Associate, positioned at our front desk, you will be tasked with providing a warm welcome and expert assistance to our staff, students, and visitors.

Salary Range : $40,000 - $60,000 (Based on Experience)

Position Title : Operations Associate

Reports to : Director Of Operations & Director of Strategic Planning

Locations : New York (Manhattan and Brooklyn school sites)

Responsibilities :

  1. Provide program support to senior leadership assisting in the coordination of onsite activities and functions.
  2. Act as a liaison between departments, ensuring smooth lines of communication when necessary.
  3. Support the development and execution of Standard Operating Procedures (SOPs) ensuring protocols are met.
  4. Generate and compile reports for tracking of relevant data to support c-suite decision making.
  5. Support the operations department with inventory management and procurement of supplies.
  6. Assist staff, students, and any incoming visitors in a friendly and professional manner.
  7. Troubleshoot IT and Facilities related issues as they arise.
  8. Provide and present statistical analysis to the Management Team.
  9. Perform administrative duties including, but not limited to, data entry, filing, and managing records to support the efficient operation of our program.
  10. Ad hoc duties and tasks as assigned by Operations leadership.

Required Qualifications :

  1. Bachelor’s degree in business, economics, marketing, communications or related field
  2. Excellent written and verbal communication and interpersonal skills, with an ability to interact positively with staff, students, and visitors.
  3. Proficient IT Skills with an understanding of troubleshooting technology related issues
  4. Strong technical skills and familiarity with computer systems, hardware, software, and networking.
  5. Ability to analyze complex problems and develop creative solutions.
  6. Strong familiarity with Microsoft Office and Adobe software platforms.
  7. Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  8. Problem-solving mindset with attention to detail.
  9. Commitment to the values and mission of iBRAIN and the desire to contribute to an inclusive and supportive learning environment.
  10. Ability to work independently with appropriate supervision.
  11. Demonstrated ability to take a leadership role in project coordination.

Job Type : Full-time / In-person

Hours : Monday through Friday, typically 8.30 a.m. to 5.00 p.m, with occasional irregular hours availability based on family/students' responsibilities
