Description
We're looking for a Senior Administrative Assistant , working in Pharmaceuticals and Medical Products industry in 155 Tice Boulevard, Woodcliff Lake, New Jersey, 07677, United States .
Job description:

  • Manage calendar and travel itineraries, manage and process expense reports, coordinate meetings (including international meetings), compliance, agendas for meetings and assisting with and route phone calls.
  • Manage calendars, advise others on colleagues availability for meetings.
  • Coordinate schedules for group meetings.
  • Arrange WebEx and teleconference calls via Outlook.
  • Arrange for catering or luncheons.
  • Maintain and update document management system (EPIC).
  • Prepare and process documents for approval.
  • Track receipts for all P Card expenses.
  • Coordinate with Legal, Finance, and the GRA NSE team to coordinate consulting agreements as needed.
  • Research travel options via Egencia to finalize arrangements (i.e. car service, train/air/hotel). If conference/seminar-related, register for conference and book all logistics via conference website.
  • Process travel and entertainment expense reimbursements using ADP Concur.
  • Reconcile purchasing cards on a monthly basis.
  • Reconcile purchasing cards on a monthly basis.
  • Responds to inquiries from internal and external personnel using proper judgment and initiative to ensure critical issues are handled appropriately.
  • Perform other administrative tasks as appropriate and as needed.
  • Print, copy, and scan documents.

Experience Required for Your Success
Requirements:
  • Associates Degree Required
  • Pharma experience Required
  • ADP or Concur experience preferred
  • General knowledge of accounting and invoice processing within an automated financial system
  • SRM/SAP purchasing/invoice processing experience a plus
  • Strong computer proficiency including MS Word, Excel, and Powerpoint
  • Outlook
  • Understanding of pharmaceutical terminology a plus
  • Comfortable using electronic databases and researching online
  • Ability to work independently and to prioritize workload and shift work activities in order to meet business needs and department goals
  • Ability to multi-task, work with multiple managers concurrently, organizational and coordination skills
  • Must have excellent writing and communication skills
  • Ability to present one's self in a professional manner, respect for confidentiality and ability to manage individual relationships with diplomacy required
  • Highly pro-active with the ability to plan and manage tasks and long term projects with minimum supervision
  • Ability to work in a fast paced environment and multitask is required; organized and able to prioritize work
  • Strong Outlook calendaring skills
  • Handle monthly clinical oncology reports and Protocol Review Committee Meetings
  • Strong attention to detail
