Job Summary:

The Medical Assistant (MA) plays a critical role in the delivery of primary care within an outpatient, ambulatory setting, with a focus on prevention and health maintenance. The MA is expected to implement principles of comprehensive, community-based, patient-centered care, ensuring that services are developmentally, culturally, and linguistically appropriate.

This role requires excellent customer service, communication, and teamwork, as well as the ability to effectively multi-task in a fast-paced environment. The Medical Assistant will perform clinical and administrative tasks in alignment with established policies, procedures, protocols, and standing orders. Responsibilities will be carried out in accordance with the MA Skill Checklist, reviewed during the orientation and probation periods, and updated as necessary by the supervisor.

Essential Duties and Responsibilities:

  • Room Preparation: Prepare and maintain examination and treatment rooms to ensure readiness for patient care, including managing the inventory of supplies and equipment.
  • Equipment Maintenance: Perform routine checks and maintenance on clinical equipment, ensuring functionality for patient care.
  • Pre-visit Screenings: Conduct pre-visit screenings according to protocols approved by OCHC and the ordering provider.
  • Patient History Documentation: Obtain, assess, and record patient history using appropriate tools and protocols within the electronic medical record (EMR) system.
  • Medical Records Management: Assist with organizing and maintaining patient medical records, including the accurate documentation of medications and immunizations in the EMR and Wisconsin Immunization Registry.
  • Office Operations: Utilize computer and electronic technologies to support office operations, including organizing, prioritizing, and securely maintaining transmittable information.
  • Vital Signs & Clinical Assistance: Obtain vital signs and assist with examinations, procedures, and treatments as ordered by the provider within legal and professional guidelines.
  • Medication Administration: Prepare and administer oral and parenteral (excluding IV) medications and immunizations per provider orders and Wisconsin law.
  • Test Follow-up & Screening: Screen and follow up on test results per provider recommendations and respond appropriately to medical emergencies.
  • Diagnostic Testing: Perform CLIA-waived tests, electrocardiography, and respiratory testing as ordered by the provider.
  • Patient Documentation & Education: Document patient communication and clinical treatments accurately and in a timely manner, and provide education on health maintenance, disease prevention, and treatment compliance as directed by the provider.
  • Community Resources: Identify and connect patients with community resources to support health maintenance and disease prevention.
  • Appointment Coordination: Schedule, coordinate, and monitor patient appointments effectively.
  • Cultural Competency: Demonstrate cultural awareness and sensitivity in all patient interactions, adapting communication methods as needed.
  • Professional Communication: Employ professional telephone and interpersonal skills, using appropriate medical terminology, and effectively managing verbal, nonverbal, and written communications.
  • Patient Advocacy & Liaison: Serve as a communication liaison and advocate for patients between the healthcare team, ensuring their needs and concerns are addressed.
  • Confidentiality & HIPAA Compliance: Enforce HIPAA regulations and handle confidential patient information in compliance with legal and ethical standards.
  • Risk Management & Safety: Adhere to risk management and safety protocols, performing all tasks within legal and ethical boundaries.
  • Credentialing & Professional Development: Recognize professional credentialing requirements, participate in quality control and improvement efforts, and maintain skills through continuing education.
  • Team Collaboration & Coverage: Provide coverage for other staff members when necessary and actively participate in departmental and organizational meetings.
  • Additional Responsibilities: Perform other duties as assigned, with the understanding that assignments may change at the discretion of the Clinic Nurse Manager, Lead RN, Lead MA, or Director of Clinics & Provider Relations to meet organizational needs.

Qualifications:

Experience: A minimum of two years of experience in a clinic, physician's office, or hospital setting is preferred. Nursing students who have completed at least two clinical rotations will also be considered.
Education & Certification:
  • Certification as a Medical Assistant is required, with an Associate of Science degree and AAMA certification preferred.
  • CPR certification is mandatory.
