Responsibilities

Serves as the primary entry point personnel for our patients, visitors, and families that enter the USA Health clinics; demonstrates a high level of service excellence in their interaction and support of the Care Access Department; performs a variety of functions in support of the day-to-day clinic workflow to include:

  1. Registration, check-in, and discharge activities
  2. Scheduling appointments
  3. Coordinating ancillary appointments
  4. Providing initial patient facing triage
  5. Verifying and updating registration information as necessary
  6. Scanning of health record documents
  7. Collecting time of service payments
  8. Employing excellent customer service skills
  9. Ensuring smooth patient flow
  10. Reviewing clinic schedule daily and following proper check-in and discharge protocol
  11. Obtaining patient demographic information and insurance information
  12. Providing general patient services and responding to patients’ needs and concerns
  13. Investigating complaints and working with office manager to find solutions
  14. Collecting co-payments, prior balances, and other payments as deemed necessary
  15. Running end of batch and supporting other Care Access responsibilities as necessary related to pre-service functions
  16. Working EligibilityPlus work list, televox reports, and cancellation/wait list call backs
  17. Scheduling all follow up appointments consistent with patient needs and clinic scheduling guidelines
  18. Providing associated discharge paperwork and follow up instructions as necessary to patients
  19. Maintaining current and accurate system by entering canceled and rescheduled appointments when necessary
  20. Answering general telephone inquiries in a professional, courteous, and efficient manner
  21. Directing calls as appropriate
  22. Communicating information on USA Health programs to patients, referral agencies, University departments, physicians, and the community
  23. Assisting in orientating and training Care Access Associates
  24. Maintaining the physical environment for safety of staff and patients
  25. Informing site leadership when necessary office supplies and forms are running low
  26. Sorting and distributing faxes and mail on a daily basis
  27. Ensuring daily functioning of office equipment, and reporting malfunctions if necessary
  28. Utilizing on-line resources as required according to clinic practice and within USA Health guidelines
  29. Regular and prompt attendance; ability to work schedule as defined and overtime as required
  30. Related duties as required.

Qualifications

High school diploma or equivalent and one year of clerical experience in an access center, customer service, or healthcare setting. Experience with Electronic Medical Records is preferred. Completion of higher level of education as approved and accepted by the University of South Alabama will substitute for the required experience.
