Job Description:

The Administrative Assistant will provide support to Blackstone’s Capital Partners senior leadership. The responsibilities include:

  • Managing calendar(s) including scheduling internal and external appointments, confirming meetings and proactively raising scheduling conflicts
  • Answering calls and acting as a gatekeeper, redirecting inquiries to other professionals when appropriate, as well as client liaison
  • Acting as back-support for other senior professionals
  • Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
  • Completion of detailed corporate expenses including tracking receipts and reimbursements
  • Booking conference rooms for internal and external meetings, meeting and greeting guests, registering guests in visitor system
  • Coordinating on-going group meetings, managing team meeting agendas
  • Maintaining and organizing files
  • Monitoring inventory supplies
  • Role may require some work after regular business hours to do time sensitive tasks
  • Owning the agenda, scheduling and various logistics around investment committee meetings
  • Plan, coordinate and execute various events
  • Working on various ad hoc projects

Qualifications:

The successful candidate should have:

  • 4+ years of assistant experience, including experience with senior leadership
  • Ability to utilize discretion and independent judgment

  • Strong communication skills; high EQ
  • Highly organized with strong attention to detail
  • Ability to multi-task and prioritize competing tasks and deadlines
  • Perform duties with the highest level of confidentiality and integrity
  • Experience with coordinating travel arrangements
  • Independent worker with strong follow-through skills
  • Ability to build relationships with key players and management
  • Creative thinker
  • Extensive familiarity with Microsoft suite
  • Familiarity with Concur is preferred

Expected annual base salary range:

$100,000 - $130,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.

Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
